We are seeking an engaging and energetic Maintenance Supervisor that will be responsible to manages community maintenance operations to preserve and maintain the physical assets of the community, managing to owner’s objectives, by performing the following duties, either personally or through subordinate staff. Essential Duties and Responsibilities: include the following. Other duties may be assigned. Performs all work duties in a safe and efficient manner, in accordance with company safety policies. Directs turnover process, troubleshooting, and repair of all mechanical systems. Identifies and reports all potential liability concerns or safety hazards, including nighttime light efficiency audits. Monitors and manages remediation programs, preventive maintenance, and overall safe work practices of community maintenance and office staff. Creates a property safety program and conducts monthly safety meetings, including training on procedures and use of equipment, with a supporting goal of zero work-related injuries. Manages a network of emergency services, schedules, coordinates on-call services, and is available for 24 hours/weekend coverage and resident functions as required. Completes service requests in a timely manner, demonstrating 100% adherence to company guidelines regarding the successful completion of service requests, within the time parameters established for the apartment community. Directs workers engaged in painting and performing structural repairs to masonry, woodwork, and furnishings of buildings. Directs workers engaged in ground maintenance activities, such as mowing lawns, trimming hedges, removing weeds, and raking and disposing of leaves and refuse. Directs workers engaged in the general cleaning and upkeep of buildings, including buffing, dusting, sweeping, mopping, vacuuming, and washing windows. Inspects completed work for conformance to specifications and standards Monitors and directs scheduling of all service personnel and vendors, making the most efficient use of available resources, and ensuring workforce adherence to company policy and procedures. Updates all maintenance records utilizing Yardi and/or other software for the community Accurately tracks expenses, both costs, and capital items Provide first-line information, documentation, and training regarding any community-specific special needs (O&M asbestos/lead, deficient plumbing systems, roofs, etc.). Solicits outside vendor bids and recommends desired vendor to Community Manager and/or Property Manager and Regional Manager, utilizing a sound knowledge of fair market pricing, negotiating terms for the community’s benefit, establishing parameters and appraising bids for quality, conformance to specifications, and cost savings. Ensures that all vendors used on the property are approved and meet all requirements of the company and community. Orders parts and materials and manages inventory control. Manages relationships with landscape and other service contractors, including monitoring compliance with contract agreements and monitoring and resolution of liability exposures. Prepares market-ready products within the timelines and guidelines established by the company, guaranteeing 100% customer satisfaction, and contributing to the achievement of community occupancy goals. Provides an overview of resident satisfaction, monitoring completion times, and resident feedback. Schedules maintenance staff and tracks 100% of maintenance time in the service order system. Prepares Yardi maintenance reports and summary documentation in a timely and accurate manner. Implements changes in systems or assignments in accordance with the findings of the maintenance inspections, to ensure more efficient management of service operations of the community. Monitors usable life of all appliances, fixtures, boilers, carpets, vinyl, drapes, blinds, etc., to ensure maximum efficiency and for planning capital purchases. Effectively communicate, in writing, anticipated capital needs and maintenance requirements for the operating budget. Creates and implements a monthly property-specific preventive maintenance program, reviewing annually to preserve the asset in accordance with the owner’s objectives. Contributes to the achievement of community financial goals through effective productivity of service staff and the cost-effective management of service functions, without compromising quality. Appraises damage and determines the ability of the in-house crew to remedy the problem and/or the need to hire an outside contractor. Studies production schedules and estimates worker hour requirements for completion of job assignments. Interprets company policies to workers and enforces safety regulations Establishes or adjusts work procedures to meet production schedules. Suggests changes in working conditions and use of equipment to increase the efficiency of the work crew. Analyzes and resolves work problems, or assists workers in solving work problems. Initiates or suggests plans to motivate workers to achieve work goals. Maintains time and production records. Confers with other supervisors to coordinate activities of individual departments. Performs activities of workers supervised. Participates in the budget process. Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience: High school diploma or general education degree (GED), some college preferred; minimum five years in apartment maintenance or six years equivalent experience; minimum two years supervisory experience; or equivalent combination of education and experience. Language Ability: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Math Ability: Ability to add, subtract, multiply, and divide into all units of measure, using whole numbers, common fractions, and decimals. Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Other Qualifications: Ability to supervise a staff of three or more employees. Ability to function effectively in a customer service environment. Working knowledge of Fair Housing laws. Must be proficient in the following areas Plumbing: Leaky faucets, plunging toilets, running toilets, repairing tank contents, pulling and replacing toilets, caulking, garbage disposal. Painting: Application and touch-up skills, preparation, sanding, and color match. Appliance repairs: Replace burners, rings, knobs, refrigerator shelves, lights, etc. Electrical: Switches, plugs, ballasts and bulbs, circuit breaker testing, exhaust fans. Locks: Replacements, adjustments, bolt installations, window locks, make keys, latches. Screens and doors: Repair, replacement, and fabrication. Installation and lifting appliances. Detailing turnover units. Carpentry: Re-hanging closet rods, replacing mirrors, fixing and installing drawer tracks, removing diffuser panels, and hanging doors. Elementary drywall repairs, patching and stripping wallpaper. Ability to satisfactorily complete, unassisted, all turnover punch list items. Computer Skills: To perform this job successfully, an individual should have basic computer skills, knowledge of the Yardi software system, and knowledge of any other system(s) the property may utilize. Supervisory Responsibilities: Directly supervises all maintenance employees at the assigned property. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
