The Warehouse Manager is the primary contact to coordinate and provide delivery and support of materials, equipment and related services for multiple job sites to assist in meeting overall corporate goals. This individual will oversee the warehouse staff, providing clear direction and leadership in maintaining a safe and productive work environment. Position requires a strong commitment to customer service. Major Duties: • Purchase materials and equipment in most cost-effective means • Inventory management and control • Inventory – Project Cost Input • Job delivery and pick-up scheduling • Process Job Order requests • Waste tracking • Overall warehouse order and upkeep • Vehicle and equipment maintenance, DOT compliance, Vehicle compliance (i.e. registration, DOT #’s, Log Books, Vehicle Inspections) • Develop strong working relationship with Field Superintendents to ensure customer satisfaction. • Oversee warehouse employee related issues and training • Monitor and maintain control of warehouse labor costs • Promote, teach and maintain a safe work environment • Develop and implement opportunities to reduce costs and improve efficiencies • Willing and ability to get their CDL Class A License • Must have valid Driving License and be insurable General Job Description The warehouse manager is responsible for the efficient receipt, storage and dispatch of a wide range of goods including, but not limited to, materials, tools, machinery, auto fleet, PPE and clothing, while implementing measures to increase the company’s effectiveness and efficiency.As the warehouse manager you are required to manage people, processes and systems. You will ensure productivity targets are met and maintain a computerized administration and automated storage and retrieval system. You will ensure workplace health and safety requirements are met and take responsibility for the security of the building, facility grounds and commodity stock. You will also oversee daily operations in the warehouse. As a purchase manager you will need to meet the daily demands required by the office and field staff to make projects as efficient as possible. You will need to be able to work with vendors to eliminate the company’s risk on projects. You will need to be proactive and aware of all related markets. Responsibilities Business Process Analysis and Documentation: Research, analyze, and document the material and tool process at Orion finding ways to be more efficient and profitable. This involves conducting meetings with critical members of the Orion management team to discuss purchasing strategy and targets. Identify Solutions for Improvement in the Organization: Through process analysis, determine areas of potential improvement in terms of efficiency and company effectiveness, then develop appropriate solutions. Information Dissemination: Develop and facilitate high-quality and high frequency communications throughout the company. Company “Handyman”: Act as an internal consultant to help multiple persons and departments within the organization develop programs and solutions to enhance efficient and/or effectiveness. Industry Awareness: Continually seek industry and market information to provide Orion with the in-formation necessary for successful business development. STAFF MANAGEMENT • Interview, hire staff, and oversee training, • Monitor the performance and progress of staff, • Organize all activities, assign jobs accordingly for staff, scheduling personnel based on client-supplied schedules, • Motivate, organize, and encourage teamwork within the workforce to ensure productivity targets are met, • Brief team leaders on a daily basis, and • Direct and coordinate activities of personnel engaged in buying, selling, distributing materials, equipment, machinery, and supplies. FACILITY & SAFETY • Maintain standards of health, safety, hygiene and security in the work environment, • Maintain housekeeping of warehouse, office and site maintenance, • Ensure the workplace health and safety requirements are met, take responsibility for the security of the building and stock, and • Run shift with safety and efficiency as priorities. PURCHASING • Ensure quality, delivery budget and environmental objectives are met, • Coordinate the use of automated and computerized systems, • Respond to field communication by email, phone, text, information systems • Produce regular purchasing reports on a daily, weekly and monthly basis, • Communicate market conditions and merchandise costs to management team, • Locate vendors of materials, equipment or supplies, and interview them in order to determine product availability and terms of sales, • Evaluate vendors and conduct buy-out pricing, • Negotiate rates with common carrier representatives, • Represent Orion in negotiating contracts and formulating policies with suppliers, • Resolve vendor or contractor grievances, • Administer on-line purchasing systems, • Develop and implement purchasing, contract management instructions, policies, and procedures, • Participate in the development of specifications for equipment, products or substitute materials, • Review purchase order claims and contracts, • Analyze market and delivery systems to assess present and future material availability, • Prepare and process requisitions and purchase orders for supplies and equipment, • Receive invoicing and verify against purchase orders, and • Work with accounts payable to make sure information is accurate prior to entering into the accounting system. TOOLS, FLEET & INVENTORY • Maintenance of vehicles, machinery and equipment, • Maintain records of goods ordered and received, • Log all rentals into the rental log and follow up with foreman on status, • Manage stock control, receipt, storage, retrieval and timely delivery of goods; shipment loading and transferring; document recording and data entry into system • Issue inventory report, in/out status report, dead stock report, goods age report, and consumption report • Return all materials not required on a project or that were delivered incorrectly, • Maintain and update fleet insurance policies, gas cards, equipment registration, etc., • Tool inventory and control responsibilities • Tool transfers log in/out form, • Cleanup, maintenance, and repair of tools, • Update and maintenance of the tool list, • Track oil changes for tools, generators, and vehicles, • Maintain fleet maintenance schedules, • Delivery of tools to the jobsite, and • Update tool inventory list • MANAGEMENT • Plan, organize, and control warehouse operations, • Fulfill objectives of the management team, • Plan out all warehouse resources and activities in relation to company objectives and set targets, • Implement cost reduction for warehouse transactions and activities, • Keep Operations Manager abreast of any activities (positive or negative), • Keep project management team abreast of purchases, 911s, and project buyouts, • Monitor the quality of service the field is receiving, • Research to improve all warehouse operations according to company’s objectives, • Communicate with all departments, and • Plan future capacity requirements. Qualifications/Skills Required • Preferred to have five years of warehouse and/or purchasing experience, • Quantitative and analytical skills. Must have excellent documentation and oral communication skills, • Understanding of the industry, • Ability to mobilize equipment and tools up to 50lbs, • Entrepreneurial approach to problem solving, • Strong interpersonal skills in order to work in a diverse, dynamic and fast-paced environment, • Self-motivated and flexible to accommodate changes in Orion’s business strategies, • Computer skills including MS Office products, • Full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times, • Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems, • Considers the relative costs and benefits of potential actions to choose the most appropriate one, • Understands written sentences and paragraphs in work related documents, • Understands the implications of new information for both current and future problem-solving and decision-making, • Obtains and sees to the appropriate use of equipment, facilities, and materials, • Brings others together to reconcile differences, • Uses mathematics for problem solving, • Analysis of needs and product requirements to create a design, • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources, • Knowledge of raw materials, production processes, quality control, costs, and other techniques for maximizing the effective manufacture and distribution of goods, • Knowledge of economic and accounting principles and practices, the financial markets, banking and the analysis and reporting of financial data, and • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Reporting The warehouse manager reports to the Sr. Estimator / Project Manager. Supervisory Requirements The warehouse manager supervises warehouse personnel.
