We are seeking a reliable, self-motivated “hands on” records center supervisor/manager. Full time Monday through Friday with some evening or weekend hours as needed. Team members must possess excellent oral and written communications skills and the ability to maintain the highest level of confidentiality and sound judgment. Apply if this describes you: • Hands on management ( this is not just a desk job ) • Confident, organized, methodical and consistent work processes • Works at a competent and fast pace to complete work to meet deadlines • Takes pride in your work • Excellent communication skills • Keeps the warehouse clean, well-organized with efficient work processes • Preventive /proactive maintenance, service and supplies of equipment • Understands that the day is done when all work has been satisfactorily completed Proficient computer skills Inventory software experience and skills- capable to learn and use RS software: DHS Total Recall • RF Scanners experience and skills • Forklift / scissor lift • Works to assure all safety and security in the work environment, implement and follow internal policies and mandated regulations Your daily duties include but are not limited to: • Reports and follows instructions of management and business owners upon your own volition • Team environment and work style - open and communitive relationships with all departments, apprises all items in records storage. • Adheres to records management industry code of ethics. • Works with all aspects of records clients (phone and face to face ). • Takes and makes phone calls, communicates via email following company policies • Learns and uses computer programs to schedule customer work orders, track production metrics • Uses industry specific software and RF Scanner to process customer requests, manage warehouse operations, and maintain inventory and utilize current records processes, procedures, and protocols • In charge of all aspects of records processes, procedures, and protocols • Plans and executes daily and weekly activity and production plans, with a focus on efficiency and minimizing overtime • Hires, trains, and manages warehouse team members • Meets deadlines and coordinates with service operations and other departments to execute tasks and meet customer expectations • Schedules, plans, and handles inbound and outbound records in a secure and confidential manner • Manages and works alongside crew to maintain a productive, safety-oriented work environment • Tracks- all records storage items, material usage and maintain budget • Manage supplies and equipment, including ordering, stocking, ensuring strong vendor relationship, supplier research, and negotiating pricing • Insure all products and stock in records department • Make minor routine and one-off repairs on records equipment and devices and determine concerns • Manage and track material usage and maintain budget • Keep all areas clean and organized • Drive a company vehicle to make deliveries when needed, run errands, complete tasks, service customers, support service operations • Maintain security, physical appearance, cleanliness • Assist with and oversee projects at owners’ properties as needed • Any and all other job tasks or assignments per management/owner direction • All other duties as assigned Position Overview: Fundamental Activities • Records Creation. • Records Inventory. • Filing Plans. • Retention Schedules. • Records Storage. • Records Retention & Disposition. • Records Destruction or Historic Preservation. The records center supervisor/manager is responsible to oversee our warehouse facilities, handling daily operations of crew, records warehouse operations, operating and maintenance of equipment, asset management of inventory, handling and tracking inbound and outbound materials. Ensuring that company policies, procedures and processes are followed at all times. Responsible for the collaborative effort in developing and ensuring efficiencies within the department. This individual shall at all times uphold company targets: team commitment, efficiencies to ensure revenue growth, quality client service, quality of operations, and transparent communication to owners. Physical Requirements: While performing the duties of this job, employee must be able to operate and transport materials / equipment (Often 30 + pounds) to and from various locations. Capability to hold strong knowledge and caution of industry specific warehouse equipment in your care and what that entails, walk through the facility with company mgmt. and visitors and take and make critical safety decisions, ability to communicate via cell phone, face to face, email, phone calls, via the computer and some off-site work is required. Flexibility, bending and good motion are required while performing duties. May be required to sit or stand, walk or move various items for extended periods of time, use hands, arms, legs, etc. in repetitive motion are required while performing duties, handle objects, must have full ability to talk and hear with full function. Specific vision abilities required include close vision, depth perception and ability to adjust focus. Must be able to handle various noise levels during warehouse operations sounds will fluctuate during the work day. Safety equipment is provided and is to be utilized at all times. Team member should not hold sensitivities to smells, sounds or other items naturally indicative to the warehouse environment. Working Conditions: This position requires team member have a strong understanding of a warehouse environment and uphold all safety requirements and proper protocols of operations to ensure quality work conditions. Be physically present in order to complete warehouse duties. They must be able to exhibit management leadership and give direction to other team members when conditions change, for the safety of all.
