Position Summary: This position is to be the lead person to professionally manage the leasing, customer service, building maintenance, and day-to-day operations under the directions of Chinburg Management, LLC, Director of Operations, and upper management. Includes responsibility of Maintenance technicians, contractors, commercial tenants, and building operations. Achieves company and property goals and objectives efficiently, economically, and professionally. This position requires specific hands-on experience within the property management field, independent decision making and judgment around tenant and facility issues, while maintaining proactive communication and responsibility to raise issues or concerns with supervisors and ownership. Will initiate, drive, and develop sales leads and continue to develop and manage the company's relationships with new and existing commercial leasing clients within the Chinburg Properties Portfolio, as directed within a defined region and by size of tenant. Make recommendations around new and renewing leases as well as developing valuable business relationships throughout the portfolio and communities that we are a part of. Primary Essential Responsibilities: • Negotiates and prepares contracts and leases for new commercial tenants. • Availability to show commercial spaces within the property to prospective tenants. • Deliver top-notch service through diligent communication and follow-up. • Answer all incoming inquiries via phone, website, and email in a timely and organized manner. • Management of defined commercial landlord/tenant issues. • Manage and facilitate work order requests for building maintenance issues in a timely fashion. • Responsible for preventive maintenance at the property as well as emergency services on/off hours. Which includes scheduling of services to remedy the emergency on/off hours which may require some weekend and evening hours. Provides direction, guidance, and supervision to all maintenance staff and contractors at the property to ensure proper performance of their functions, consistent with company policies, procedures, and standards. • Available to communicate and meet with tenants regularly to manage complaints and inquiries with consistent, organized follow through. • Must be able to manage multiple tasks and problem solve with professionalism and accuracy. • Solid understanding of marketing and sales processes with the ability to deliver information effectively. • Assist coding of invoices as directed by Director of Operations. • Update tenant lists and directories. • Track and manage commercial tenant balances, delinquencies, amendments, and lease renewals. • Liaison to various community supported events and meetings (business associations, chambers of commerce) as requested by Director of Operations. • Work with Director of Operations and accounting department to reconcile tenant accounts and complete deposit returns in a timely manner. • Work to facilitate planned capital improvement projects. • Facilitate tenant fit ups in coordination with Operations Manager from quoting to completion stage by communicating timelines, costs, and serves as liaison between construction, management company, and the tenant. • Know the pulse of customer issues/concerns and raise any specific issues to senior staff if necessary. Reach out to tenants on a regular basis. • Provides general maintenance and repair for the community. Duties include, but are not limited to, cleaning, painting, interior/exterior decorating and maintenance, installation/repair of drywall, lawn care, snow-removal, replacement of lights, plumbing, electrical work, roof repairs, HVAC system maintenance, relocation of furniture/fixtures, etc. • Regularly assess the property for safety and loss prevention. • Available to respond to emergency maintenance repairs, after normal working hours, and able to respond back to the property within 30 minutes of receiving notification. • When required, be available to respond to weather and environmental related emergencies, such as snowstorms, hurricanes, tornados, floods, and fires. • Demonstrates respect and regard for the dignity of all residents, families, visitors, vendors and fellow employees to ensure a professional, responsible, and courteous environment. Essential Knowledge, Skills and Abilities: • Excellent computer knowledge with proficiency in MS Office Suite and Google Platforms (especially Word, Excel, Outlook, Google Docs, and Google Sheets) and other accounting/financial management applications/platforms. • Excellent written and verbal communication skills. • Displays a strong work ethic and eye for business. • Demonstrates a high sense of urgency with the completion of tasks. • Superb attention to detail completing assigned tasks within identified time frames delivering a quality, accurate work product. • Ability to work independently as well as collaboratively with team members. Highly organized, dependable, and motivated. • Adept at learning new skills. • Excellent relationship building skills. • Able to trouble shoot when an issue arises. • Ability to multi-task with significant attention to detail and deliver information effectively and clearly. • Willingness to learn new software programs. • Demonstrates a high sense of urgency with the completion of tasks. • Proficient at many trades, recognizing quality installations. • Superb attention to detail completing assigned tasks within identified time frames delivering a quality, accurate work product. Education and Experience Requirements: • Bachelor’s degree or work equivalent experience – property management, commercial leasing, or maintenance experience preferred.
