The superintendent is responsible for scheduling material., equipment and manpower for the installation of HVAC systems. To maintain quality and integrity in our product, and build strong, positive relationships with out contractors and trade partners. The Superintendent reports to the General Superintendent / General Manager. The Superintendent is responsible for coordination of the ordering and installation, and the quality, of all HVAC on his / her assigned projects; must possess the experience and expertise required to judge and ensure the quality of the work, and the ability to meet schedule expectations; and must maintain an open, positive, and professional line of communication with the company’s customers, i.e., builders, vendors, homeowners, internal customers, and trade partners. The Superintendent is responsible for the safety of the crews that report to him / her. Duties and Responsibilities: Manage and Schedule Installation of HVAC Material and Equipment: Maintain consistent with builder to be aware at all times of expected installation dates. Request and coordinate HVAC material and equipment needs with purchasing department. Coordinate delivery of material and equipment to job site. Check positions and equipment list to ensure material is correct. Keep project status up to date ensure timely delivery. Lay out crews to install material on scheduled dates. Manage Managerial Tasks: Train crews on proper installation techniques. Ensure crews receive and install correct material. Collect, approve, and sign timecards and deliver vouchers to crews. Pass out payroll checks to crews. Conduct weekly tailgate safety meetings and provide copies of signed tailgate safety form to builders and company’s payroll department. Communicate with Trade Partners: Maintain communication with relevant trade partners job site superintendents to foster good working relations. Attend all scheduled builder meetings. Maintain cleanliness of job sites. Walk jobs constantly to follow-up on installers. Follow-up on all purchase orders and / or extra work. Manage System Start-Ups and Testing: Schedule and direct quality control technician daily. Communicate with technician constantly to maintain schedule. Identify, communicate, and train on hot spots or problems to be corrected. Continual and consistent follow-up with start-up and testing technicians to maintain high levels of adherence to expect results. Daily Responsibilities: Check voice and email messages throughout the day and respond within a timeframe that suits the customer’s needs. Report to the office and perform necessary duties, including: Deliveries / schedule future orders. Back orders / call-in orders. Update 100% material packs being pulled. Lay out installation crews. Coordinate rough and trim installations, start-up, and testing technicians. Make necessary phone calls to job site superintendents, employees, and others, as required. Report to job sites and perform necessary duties, including: Daily communication with builder’s job site representatives Inquiries as to concerns that need to be addressed. Check superintendent’s sub-mailbox. NOTE: Always have a pad and pencil handy when speaking with builder representatives to note their comments, suggestions, and concerns. Daily communication with company foreman and crews. Walk the work. Take note pad and write down notes or concerns and follow up on builder’s needs. Talk to foreman to find out when he will take care of necessary items for builder. Immediate follow up with builder’s job site superintendent to let him / her know your plans for taking care of their problems or concerns. If deemed necessary by builder and / or inspector, be sure foreman always walks with inspectors and builder when getting inspection. Material and trash Be sure the foreman knows to clean the area daily of all HVAC-generated trash. Be sure all extra material gets back to the yard. Keep storage bin clean and organized. Communicate and follow-up with builder’s job site superintendent. Take time before you leave to let the job site superintendent know what’s going to happen in the next few days. Get future schedule dates from superintendent. Call superintendent when work is complete. Let superintendent know about special deliveries. Always tell builder’s superintendent if his production schedule will not be accomplished on his time schedule. Check with the foreman and installers on any material problems and / or fab problems. Check with other trade partners concerning schedule and problems. Weekly Responsibilities: Deliver timecards to office every Friday. Ensure delivery of paychecks on Friday. Attend builder regularly scheduled meetings. Accurately update billing book with the General Manager. Hot spot training (with trim crews and quality control technician). Must maintain strict confidentiality in performing the duties of this position. Education: Must have proficient knowledge in the following areas: Air duct distribution systems in residential and multi-family dwellings. Relevant building codes, legislation, regulations, policies and procedures installations and maintenance. Installation of HVAC materials, equipment, and appropriately matched systems. Physical Requirements: Must be able to meet the physical demands described below to successfully perform the essential functions of this position: Regularly sit, walk, bend and lift for prolonged periods of time. Must be able to lift up to 75 pounds. Full range of movement, including the use of hands, feet, and fingers to handle or feel objects, and must be capable of bending, reaching, and crouching. Command of all five senses: sight, hearing, touch, smell, and taste. Specific vision abilities required include close vision, depth perception, and the ability to adjust and focus. Must hear and speak well enough to conduct business over the telephone and in person for long periods of time. Ability to use a computer to prepare reports, letters, invoices, and proposals.
