POSITION SUMMARY: Under general supervision, the Facilities Assistant provides daily support to the Administrative Services Department with a focus on company office moves. Assist Senior Manager of Administrative Services with new office space/cubicle set up. This role can be full-time or part-time, depending on candidate preference. ESSENTIAL FUNCTIONS/DUTIES: Facilities Support (including but not limited to): Ability to accurately read a floor plan Assembling office shelving Cleaning and wiping down furniture once in place Will use a dolly to move equipment and office furniture Must be able to lift up to 50lbs Good organizational skills for directing members of the team where to move and place items Light building maintenance including restrooms, cubicles, outdoor areas, recycling, trash, etc. Weekly inventory of supplies for all copy rooms and supply rooms Daily light cleaning and weekly deep cleaning of all campus-wide coffee machines, including stocking with coffee Prepare offices/cubicles for new hires, including cleaning and stocking for new employee Distribution of US Mail, FedEx, UPS and inter-office mail to all corporate campus buildings and off-site corporate facilities Bring all wine deliveries into building, sort and stack in staging areas for easy retrieval Other duties as requested Reception and Mailroom Support (including but not limited to): Serve as back up for Receptionist including front desk and mailroom operations Operate switchboard as needed and direct incoming calls to appropriate party. Greet guests, vendors and ‘drop-ins’ and notify appropriate parties as needed Assist employees with mailroom functions and procedures JOB REQUIREMENTS: Essential Skills, Experience, and Education High School diploma or equivalent One year of employment experience in a corporate environment preferred Ability to manage multiple projects in a fast-paced, changing environment while maintaining attention to detail Ability to maintain strict confidentiality Ability to work independently and act on own initiative Ability to communicate and interact successfully with all levels of the organization Intermediate competency with MS Outlook, Word, and Excel PHYSICAL REQUIREMENTS: Must be able to lift or carry up to 50 pounds on a regular basis Ability to sit or stand for prolonged periods of time Ability to climb, stoop, kneel, crouch or crawl for short periods of time
