Award-winning Manhattan Building Company hiring full time CONSTRUCTION DOCUMENTS & SCHEDULE COORINATOR supporting architectural, civil engineering, construction management, finance teams, subcontractors. We have decades of development, design, construction, property mgmt of luxury residential mid / high rise properties. Multiple large projects underway, approved & scheduled, years of work ahead. QUALIFIED CANDIDATES: -- Candidates must currently live in, or less than an hour commute to Jersey City NJ. -- At least several years’ experience or exposure to construction industry work and/or internships, with at least some experience receiving & organizing, filing & archiving, retrieving & distributing online & paper project documents, drawings, records, files for large, modern projects. THE JOB: o Primary person maintaining, coordinating all shop drawings & submittal programs; transmits, registers, communicates document status thru maintained submittal & shop drawing logs. o Ensures documents distributed to parties of responsibility, identifies late/less cooperative individuals or entities, follows-up immediately & frequently; gets management assistance right away for uncooperative people / entities. o Inputs multiple project data to central database; uploads to electronic filing system. o Field visits to actualize master construction schedule. Already / quickly becomes power-user of project software; experience with / exposure to construction software and Excel BIG pluses. o Expediter-liaison with city & state agencies of jurisdiction for permits, approvals, coordinating documentation, submissions to Jersey City & New Jersey state agencies. o Maintains schedules of timely project submissions, issuances of all documentation associated with construction project activation & ongoing work. o Prints documents & drawings, arranges for large volume reproduction with vendors. o Frequent field office administrative, operations visits. o Facilitates purchasing with on-time, accurate POs; tracks pending delivery schedules of ordered materials, logs deliveries; keeps cost reports updated. o Gathers needed information from company & subcontractor field superintendents, inspectors on job progress for schedule updating, provides updated data on-time and accurately. o Stays on-time on for project scheduling, other responsibilities; raises obstacles, challenges with managers before important work could fall behind. REQUIRED EDUCATION: Accredited Associates or Bachelors degree, or formal training & certification program within last 10 years in one or more of these: - Construction management - Project management for technical fields - Civil / other engineering - Purchasing / receiving management for construction or real estate development - Other technically-oriented studies/curricula that includes project / document mgmt. KEY ABILITIES & CHARACTERISTICS - Attention to details & accuracy; very organized. - Assertive, not aggressive. - Frequent communication with ‘just enough’ accurate, needed information; knows when / with whom to use phone, face to face, email, text, conf. calls, screen casts. - Naturally positive, calm under pressure, especially deadlines & very busy periods. - Keeps time, task & deadline commitments; if necessary, gives advance notice if deadlines must slide.
