LOCUST HEIGHTS & WESTERN RAILROAD PHOTOGRAPHY CHARTER SATURDAY, AUGUST 20, 2022 This August, join us for the highly anticipated return of our special Railfan Photography Charter event at the Locust Heights & Western Railroad in Clarksburg, W.Va.! Your donation proceeds from this special event will help the railroad pay for the continued upkeep and maintenance required to keep the not-for-profit railroad in operation in our ever rising economic climate. This year’s schedule will feature two planned 120 minute trips including multiple photo runby opportunities on each trip. We plan to utilize all available rail equipment in some way during the day, inclusive of both the Mason Climax and the Vulcan Gasoline locomotive, and will offer a variety of consists throughout the day. We also hope to incorporate some vintage non-railroad equipment for staged scenes along the line. The railroad’s all volunteer crew will be dressed in period appropriate clothing and will help bring the scenes to life. After our two runs are completed, a homestyle dinner will be included for all participants, followed by a static photo opportunity and a special night photo session featuring studio style lighting, weather permitting. While our primary focus—as always—will be on still photography opportunities, many runbys will also afford the ability to record video. We will ask guests to refrain from talking during runbys (PLEASE NOTE: back up staging maneuvers are not considered runbys and will not be controlled). If you are bringing a friend or family member, we are offering a special “Double Ticket” option that saves you a combined $20 ($280.00 total; $140 per ticket). Additional pricing options may be available for 3 or more participants in the same party. Please include your full mailing address and email address when you make your donation. We will also need to know the names of each member of your party. We would like to have a minimum of 10 donors for this event. For more information, please contact [email protected]. If for some reason you are unable to donate directly to the page but wish to participate, or if you are unable to attend the event but would like to donate, please email us for assistance. Below is our TENTATIVE schedule for the event, which is subject to change. There will be approximately 20-30 minutes between each run to allow the locomotive to take on water, and to allow guests an opportunity to use the restroom. Dinner is included in the ticket price and will be served after the last daytime run (sorry, no discounts if you don't plan to attend dinner or the night photo). Bottles of water will be available on the train throughout the day. TENTATIVE SCHEDULE (Times are approximate): 1:00PM-2:00PM Check In 2:00PM-4:00PM 1st trip featuring several runbys 4:45PM-6:45PM 2nd trip featuring runbys/actors 6:45PM-7:45PM Dinner and Social Time (Included in Ticket Price!) 7:45PM-8:30PM Static Photo Opportunity Featuring Actors 8:45PM-10:30PM Multiple night photos, including yard scene and trestle scene featuring night train ride. DAYTIME CAB RIDE ADD-ON: Once again this year, for an additional donation of $50, you will receive the opportunity to ride in the locomotive cab for one trip during one of our two planned daytime trips. Only TWO guests will be permitted this opportunity during each trip, for a total of FOUR AVAILABLE TICKETS. To receive a cab ride, please select the “Ticket + DAYTIME Cab Ride” option when ordering your tickets. See the "Fine Print and Disclaimers" section below for rules specific to those holding a cab ride ticket. NIGHT CAB RIDE ADD-ON(NEW FOR 2022!): In addition to the four daytime cab rides, we will offer two additional cab rides during our night photo train to the trestle and back. Although the ride will be shorter, a sharp shooting photographer will note that night time offers a unique aesthetic opportunity not available during the day. When selecting tickets, you will select "Ticket + NIGHT Cab Ride". PLEASE NOTE that you are only eligible for ONE CAB RIDE during the full day of runs, so if you select the Night Ride, you will NOT be able to ride the cab during the day as well. In the event of inclement weather in which case the night train is canceled, you will receive a $50 refund. “FINE PRINT” AND DISCLAIMERS: DUE TO THE PRIMITIVE NATURE OF THIS RAILROAD OPERATION, THE LOCUST HEIGHTS AND WESTERN RAILROAD AND THE EVENT HOSTS WILL NOT BE RESPONSIBLE FOR ANY INJURY SUSTAINED ON THE RAILROAD PROPERTY BEFORE, DURING, OR AFTER THE EVENT. HOWEVER, IF AN EMERGENCY SHOULD ARISE, WE WILL ATTEMPT TO ASSIST YOU IN ANY WAY POSSIBLE. THE RAILROAD IS NOT HANDICAP ACCESSIBLE AND WE DO NOT RECOMMEND THIS EVENT FOR INDIVIDUALS WHO HAVE DIFFICULTY WALKING OR STANDING FOR LONGER PERIODS OF TIME, OR FOR INDIVIDUALS WHO ARE FAINT OF HEART. YOU ARE PARTICIPATING AT YOUR OWN RISK. YOUR DONATION DOES NOT GUARANTEE A SEAT ON THE TRAIN, BUT DOES GUARANTEE A SPOT AT THE PHOTOGRAPHY LOCATIONS. SOME WALKING MAY BE REQUIRED BETWEEN PHOTO LOCATIONS. IF YOU DO NOT WISH TO GET OFF THE TRAIN AT EVERY PHOTO LOCATION, YOU WILL BE ASKED TO RIDE IN THE CABOOSE, IF AVAILABLE, AND REMAIN INSIDE OUT OF SIGHT OF OUR PHOTOGRAPHER GUESTS. AS THE TICKET PRICE IS CONSIDERED A DONATION, NO REFUNDS WILL BE ISSUED UNDER ANY CIRCUMSTANCES UNLESS THE ENTIRE EVENT IS RESCHEDULED OR CANCELED. IF UNFORESEEN CIRCUMSTANCES ARISE ON THE DAY OF THE TRIP, THE PLANNED SCHEDULE OR EQUIPMENT MAY BE ALTERED IF DEEMED NECESSARY BY OUR VOLUNTEER STAFF. INCLEMENT WEATHER NOTICE: Please plan for inclement weather. We will have a very limited number of rain ponchos available, but it is your responsibility to care for your equipment and to wear warm clothing, if needed. Due to the limited amount of space on the train, it may not be possible to be under roof for up to three hours at a time. CHILD POLICY: The Locust Heights & Western Railroad has fans and friends of all ages, and we especially enjoy seeing our younger guests each Wednesday night for our regular train rides. We also recognize that there are an increasing number of youth who are avid rail enthusiasts and photographers in their own right, and it is for that reason that we don’t set a specific minimum age for participation in this charter. HOWEVER, we DO ask parents to use best judgement when choosing to obtain a ticket to this event for your child. If your child is good at following instructions and able to stay still and quiet during our planned eight hour day of photo runbys, then you are more than welcome to purchase them a ticket as long as they are accompanied by a paying adult. With that said, in the event your child becomes unruly or is disturbing other paying guests and disrupting the flow of our event, we may have no choice but to ask you and your child to leave, in which case NO refund will likely be offered. CAB RIDE RULES: ~We reiterate our above safety disclaimer. The cab can be a hot and dangerous place if you are not careful, so please use discretion when riding in the locomotive. ~For our DAYTIME cab ride participants, the first donor to order a cab ride will get first choice of the trip they want to ride, and we will follow order from there. Your opportunity to decide will be made available to you at a later date once we have a better idea of what will be happening on each run. ~Each donor may only purchase ONE cab ride during the scheduled day. And to be more specific, this means if you purchase a NIGHT Cab Ride ticket, you will NOT be eligible to purchase a DAYTIME Cab Ride ticket as well. ~Your cab ride ticket does NOT include cab rides during photo runbys. Your time in the cab will be during the trip to and from each photo location only, and at times when the entire group is riding the train. You will be asked to exit the cab at any time that a photo runby or static photo is going to take place. ~We plan to make sure that each DAY TIME cab ride participant receives a cumulative full ride over the entire line even when chosen photo locations are near the beginning of the line. HOWEVER, in the event that there is a need to go back to the station boarding area without completing the full run, your cab ride WILL conclude with said return to the station unless otherwise noted on the day of the charter. NIGHT TIME cab ride participants will receive a cumulative full ride over the line as far as the trestle and return. ~In the event the NIGHT photo train is canceled due to weather or other unforeseen circumstances, those who selected to do the night cab ride opportunity will receive a $50 refund.
