The 'Operations Assistant' is responsible for handling day-to-day activities in the operational functions of a professional film studio facility. The ideal candidate is interested in the media and production world. You may not know what goes into each project to bring a television or music video to life, but you have a foundational understanding of production in general. You will need to become highly knowledgeable about the operational side of the television, film, music video, and the photography world. As you will be personally assisting me in ensuring that the ball does not get dropped and that tasks are being completed. You are not intimidated by figuring out how different services within the film studio work, becoming comfortable speaking about the services to interested clients, and learning how to upsell them and get them booked at our facility. You understand that even though you are coming in as an operations assistant you will need to be comfortable speaking and interacting directly with clients. Since we are the largest production studio facility in South Florida, we must be constantly promoting, selling, engaging with clients, following up with new and old clients, researching what shows are coming to town, what performers are going on tour so that they may have their tour rehearsals here, what shows will be needing space to film here in Miami, what movies may be needing a cover set while in town, a transportation lot, a production basecamp for operations, rental of vintage vehicles as picture cars. Stuntmen and stunt coordinators for their productions etc... It sounds like a lot to keep up with right? Well, it is!! That is why we need a few AMAZING people to join us and come help grow the company. But you will have our support, for the chosen individuals that are a good fit. What you don't know will be taught to you. You will learn about the media production world a little at a time, every day. You will learn on the job as well as be taught new positions and skills as needed to help cover our workload and continue to grow within our company and with your newly learned skills and strategies that are forward-thinking in how we aggressively market, manage, sell and grow the industry we are in. Fair warning, the entertainment industry is not your typical job. Though we try to standardize working hours, based on the nature of our industry and how the film industry works. Hours of operations can fluctuate depending on the production being filmed. If a production shoot is filming and their wrap time is at 2 am, that means you must be here until 2 am if you have been assigned as the Stage Manager for that day. If you are not comfortable with this, please do not apply. This will not work. ------------------------ Film Studio Operations Assistant Responsibilities: - Handling incoming calls, emails, and following up on documents needed from clients. - Having a flexible schedule, ability to work different hours depending on production shoot requirements. Not every production wraps up at 2 am but it happens. - Data entry of client information into our database CRM. - Quoting, invoicing, and updating paperwork for clients. - Following up with clients on getting signed paperwork and deposits before they begin filming. - Giving film studio tours of the facility to potential clients. - Periodically update prospective client lists for both new potential clients and past clients. - Helping organize and maintain the office, stages, support, and common areas. - Performing general office clerk duties and errands. - Aiding with client reception as needed. - During production shoots, acting as a 'Stage Manager' on the day of filming to help things run smoother. - Find solutions to problems, think of ways to help operations, and give suggestions on procedures and protocols that can be implemented for added efficiency in our day-to-day activities. - We are a growing film studio facility and we need you to be very organized and responsible.
