BASIC FUNCTION The Supply Chain Associate (SCA) will report directly to the Commercial Operations Director as part of the Commercial Team. Under general supervision from the Commercial Operations Director, the SCA will perform all duties necessary to perform supply chain, warehouse and logistics functions. S/he will be heavily involved with various systems for data entry, reporting and vendor management to achieve a high-level of customer satisfaction. NATURE AND SCOPE Key responsibilities of the Supply Chain Associate include the following: v Interface with freight companies and warehouses via phone, email and in person to coordinate order fulfillment and delivery schedules. v Communicate and coordinate customer order requirements effectively with distribution center and 3PL partners. v Accurate and timely scheduling of logistics functions to ensure on time delivery of orders and trade shows. v Work closely with Customer Service Team to ensure orders are shipped accurately and within targeted cost. v Track orders and follow up with delivery schedules for time sensitive shipments. v Handle and resolve customer complaints or inquiries in professional manner. v Reviews invoices to process freight payments and 3PL warehouse handling fees. v Maintain KPIs to ensure targets are met by tracking freight costs to ensure we are within budget. v Process RMA returns in NetSuite and file any damaged claims with Carriers and or 3PL Transportation. v Coordinating repacks of returns to stocking condition. v Provide freight quotes, service and delivery information to internal and external customers for domestic and international shipments as requested. v Perform carrier performance analysis as well as freight lane analysis to minimize outbound freight costs and maximize customer satisfaction. v Process carrier claims and maintain log of status. v Work directly with warehouse personnel to QC orders out of Union City warehouse. v Process inventory transfer requests between warehouses. v Managing inventory accuracy for all warehouses through cycle counts including orders, samples and packaging. v Understand the processes and accurately create SOP’s. v Monitor ERP integration software to ensure orders are transmitted without errors. v Perform system transactions in NetSuite for order fulfillment. v This role will also be a backup to the warehouse personnel. v Work cross functionally to provide necessary information and assistance to Regional Sales Managers, and other internal department teams. v Review logs and procedures for ISO certified tasks. v Provide feedback and recommendations to Commercial Operations Manager to improve processes. KNOWLEDGE/EXPERIENCE To effectively carry out the above responsibilities, the Logistics Coordinator should possess the following skills, knowledge and business experience: v High school diploma or equivalent required, college degree preferred. v Minimum of 2-3 years of previous logistics and warehouse experience desired. v Must be able to work in a team environment to meet deadlines. v Knowledge using ERP programs for order processing and data analysis. NetSuite exp. a plus. v Knowledge of shipping systems: UPS small parcel, FedEx and Various Freight systems. v Knowledge of MS Office (Outlook, Excel, Word and PowerPoint). v Knowledge of Salesforce software tool is a plus. v Strong time management skills to meet team and individual deadlines. v Strong attention to detail to ensure accuracy of orders and overall customer satisfaction. v Organized, flexible, able to follow instructions and receive feedback. v Exercises good judgment within defined procedures and practices to determine appropriate actions and problem solve as needed.
