Seeking an Assistant Manager to oversee a property located in Oceanside to work Full Time. The Assistant Manager will be responsible for providing support to the management, operations, and maintenance of the property. Compensation: $21-$22 Upon experience plus Bonus based on leasing and completion of goals based on preset parameters. Paid Vacation and Sick Leave Assistant Property Manager ● Assist with the day-to-day operations and tenant relations through the coordination of tenant requests and administration of maintenance services. ● Answer and route phone calls from tenants and vendors to the appropriate contact within property management and/or dispatch personnel based on immediate needs. Assist with the scheduling of contractor work and coordinate with tenants. ● Provide tenants and vendors with assistance in all aspects of scheduling building maintenance, communicating building procedures, and supplying general building information. Assist with dispatching tenant work orders; maintain tenant work order e-mail. ● Provide support by producing, modifying, and /or distributing various forms, spreadsheets, manuals, information packages, and miscellaneous type-written information. ● Provide tenants assistance in processing only payments, accessing payment platforms, enrolling in services, and advising them of all payment options. ● Use Rent Cafe and Yardi to distribute and communicate with tenants, vendors, and others as needed. Record interactions with tenants in Yardi notes. ● Assist in the maintenance of a filing system for leases, tenants, insurance certificates, vendors, buildings, drawings, contracts, and postings. Upload to Yardi and file-sharing systems. ● Handle miscellaneous assignments or special projects as requested by management. ● Assist with the coordination of rent/lease, transfers, change of roommates, debt collections, renewals, and payment plans. ● Handle tenant, vendor, and prospective tenant walk-ins or assign as needed and guide them to find necessary information. ● Present property and provide amenities in a positive light to prospective tenants. Tour and show available units upon request. Advertise available units using a variety of media and promoting materials. ● Negotiate leasing terms and conditions and close prospects. Confirm rental application data and personal references. Determine the needs, living standards, and economic viability of prospective tenants. ● Manage delinquencies/Pay or Quits, etc. Manage Ledger Adjustment Requests through Terra, and process resident referral program credits through Terra. ● Process Move-Ins/Move-outs in a timely manner. Pre lease and post lease walkthrough and periodic inspection of vacant units and annual property rented units, ● Advise the Owner or Upper management on the best marketing plan that best fits the property for leasing units. Stay knowledgeable of the property market status. Provide information on all aspects of properties. (expansion, zoning, crime, etc.) Phone shop competition every month, Shop competition quarterly ● Ensure proper maintenance of property by inspecting periodically. ● Ensure all pets and service animals are accounted for. ● Responsible for HUD Housing Programs ● Maintain learning compliance as required by the company by completing learning courses on a timely basis, including Fair Housing Laws, Landlord & Tenant Laws, OSHA Safety Guidelines, Equal Opportunity Laws, ADA Laws. ● Complete an incident reports for any major or noteworthy occurrence at the property, submit a report to VP, Regional, Manager, HR. Behavior & Ethics ● All tenants should be treated equally; with respect and courtesy at all times. If the tenant is offending or threatening you, report that to the director of property management. If you are afraid for your life, please call 911 first and notify corporate offices. ● Communicate with vendors, your supervisor, and other employees of Afton in a respectful manner. ● No unauthorized renting of any space is allowed; including apartments, garage spaces, storage, etc. ● Ordering and pocketing merchandise for your personal use without your supervisor’s authorization is strictly prohibited. ● Charging and collecting unpermitted fees to tenants is strictly prohibited. ● Being under the influence of drugs or alcohol during work is strictly prohibited. ● Billing for unauthorized work is strictly prohibited. ● The dress code is business casual. ● Follow safety and caution guidelines. When in doubt, consult your supervisor. ● As an Afton Employee, you shall be actively enforcing company policy over your property. Typical Work: Environment/Conditions: In constant movement around property visiting different work locations. Essential Functions/Physical Requirements: Walking property and inspecting units, touring the property, meeting with applicants in person or via virtual tools. Equipment Used: Computers, phones, tablets, filing cabinets, copy machines, general office equipment, golf carts. Scheduling: Employees will be working 5 days a week as assigned by their supervisor. They will be included in a rotation for servicing after-hour calls that may need to be addressed after normal business hours. Employees may be scheduled to work on weekends.
