Description
Scheduling and Operations Manager position is responsible for organizing the operations schedule, as well as overseeing the activities and maintenance of company facilities and property. Office: • Organizes the operations schedule, assigning labor to jobs per specifications provided by project managers. Take into account whether certain individuals have the necessary skills to work on certain sites or are versed in the product lines being used on a specific job site. Keeping track of personal schedules and account for any days off requested either personal or vacation. You will need to be flexible and patient, as clients may add, change, or cancel jobs at the last minute, requiring immediate changes to the schedule. • Requests and coordinates subcontractors to provide labor as necessary, assigning them to appropriate jobs and keeping in mind their limited experience and knowledge. • Completes work orders and assigns job numbers per information received from project managers. • Reviews time cards on a daily basis to ensure accuracy and approve or reject any irregularities • When necessary, coordinates service work for regular clients, providing quotes and pricing according to their specific needs. • Responsible for matching job related invoices and receipts to specific jobs, giving copies to project manager for costing, and coding / approving for payment • Codes invoices pertinent to operations activities • Must possess a professional attitude with all employees and be able to interact with clients when necessary • Assumes responsibility for other duties as required or assigned. Warehouse: • Coordinates warehouse activities with the warehouse manager. • Responsible for ensuring that warehouse is clean, neat, and highly organized. This includes stored product, all supplies, equipment, parts, vehicles, etc. • Makes certain that all product is received, tagged, and unboxed properly. • Performs a weekly inspection of warehouse, ensuring that the warehouse is neat, no safety issues, and that all product has been properly tagged and stored. If any issues are found, they should be immediately addressed with the warehouse manager. • Ensures that physical condition of warehouse is adequate. This includes making note of issues with the building itself (roof, doors, etc), utilities, sprinklers, fire extinguishers, alarms, etc. • Maintain adequate installation/delivery/warehouse supplies, and either purchases or recommends purchase of replacement stock as necessary. Vehicles: • Responsible for the regular upkeep and maintenance of company and leased vehicles. • Weekly inspections of vehicles for damage or issues • Ensures cleanliness and schedule cleaning when needed • Works with installation manager on interior cleanliness issues • Maintains detailed records and accompanying receipts of vehicle maintenance. • Maintains driver files with proper paperwork. • Maintains fork lift certifications.
