Job Summary Reporting to the Director of Housing Facilities, the Housing Facilities Project Support Analyst (PSA) supports a broad range of projects on behalf of the department. This position applies professional concepts to conduct analytical studies or projects of moderate scope and complexity to address a variety of policy, research and procedural issues. The Housing Facilities Project Support Analyst fully analyzes issues and problems, gathers data and information, finds and evaluates alternatives and makes sound recommendations. In this role, the PSA must have broad knowledge and experience with relevant external University-wide and system-wide policies related to facilities operations. This includes, but is not limited to, regular review of union contracts, job order contracts, purchasing policies, etc. The PSA will be responsible for ensuring consistent application of policies within Housing Facilities and will develop and improve internal policies specific to this unit. The PSA will analyze existing processes for Housing Facilities and will make recommendations for improved efficiency to the Director of Housing Facilities and the Housing Project Manager on a regular basis. The PSA will be required to pull data and analyze information to provide recommendations for value improvement. This position will play a critical role in interfacing with other units in Housing and other UCSF departments such as the Housing Finance team, Facilities Services, Procurement, Supply Chain Management (Contracts & Signature Authority). This position will also focus on continuous operational improvement for Housing Facilities, and will help achieve this goal through supporting special projects and initiatives (example: Be Smart About Safety program, First Impressions proposal submission, etc. ** Note: This position needs to report onsite daily. Housing Services, supports UCSF in its quest to attract and support the most talented and diverse trainees in the health sciences, and to be the workplace of choice for top-tier talent. The mission of Housing Services is to provide housing and related services to Faculty, Students, Medical Residents, Clinical Fellows, Post-Doctoral Researchers and staff. Housing facilities is one of the major functional areas within Housing Services that works closely with Campus Life Services Facilities Services to fulfill the department’s goals for providing clean, safe, well-maintained residential facilities. Based on a reputation of quality and service, Housing Services strives to be the housing destination of choice for eligible UCSF affiliates. As a self-supporting auxiliary unit under Campus Life Services, Housing Services is projected to generate more than $35M annually and have a $15M reserve allocated to support renewal and capital projects. Its rental income supports all operations, major maintenance and facility renewal, and new construction initiatives for its current and future properties. Current properties include Mission Bay Housing, Aldea San Miguel Housing, Tidelands Housing. Mount Zion Housing, and Avenues Housing and intends to grow its portfolio. Required Qualifications Bachelor's degree in related area and one or more years of related experience; and/or equivalent experience / training. Working knowledge of applicable policy analysis techniques. Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail. Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing. Proficient in ability to multi-task with demanding timeframes. Proficiency utilizing Microsoft suite software including Outlook, word, excel, PPT, preferably in a MAC environment. Working knowledge of common organization- or research-specific and other computer application programs. Demonstrates ability to use sound judgment in responding to issues and concerns. Demonstrates ability to successfully work in a collaborative team environment. Proficient in ability to use discretion and maintain all confidentiality. Preferred Qualifications Knowledge of common University-specific computer application programs Knowledge of University contracting policies, procedures, rules and regulations. Experience using BearBuy, Starez and Maximo platforms Ability to apply LEAN concepts and A3 Thinking to projects Ability to use other data collection technologies such as Qualtrics, Smartsheets, Microsoft Teams.
