The Administrative Assistant/Personal Assistant position will play an essential role in assisting with the management of the daily operations of the business as well as existing events and the future growth of the business. The nature of this business requires the staff to be available during the weekend at the events however there are flexibilities during the weeks days. The tasks required for this role include but are not limited to: Overseeing clerical tasks, such as sorting and sending mail. Keeping an inventory of event supplies and ordering new materials as needed. Maintaining files. Welcoming visitors to the office. Answering phone calls. Taking and delivering messages. Ensuring the office runs smoothly. Scheduling meetings and sending meeting invites to attendees. Organizing meeting summaries and recaps. Assistance with marketing tasks. Assistance with the smooth operations of all events. Coordinating with vendors. Managing the deliveries and returns of all items. Managing the staff during events. Assistance with finding and hiring vendors. Assistance with finding and booking venues. Light bookkeeping and project management.
