Job Summary: This position is part of the Facilities and Transportation department and assists in all aspects of Department functions: The Facilities Assistant - Coordinator is a key member of the Facilities team, responsible for the operational and administrative functions of St Thomas School facility operations by performing the duties personally or with other team members. Specific Responsibilities: Monitors the facilities work order system daily and reply to, update, schedule, complete assignment or save for later for Director of Facilities. Monitors Outlook calendars for school spaces and schedule/assign FA and or FA2 to complete setup. Receives, reads, forwards, and or replies to internal emails daily. Understands and operates building automation system for handling comfort settings requests around the campus Completes physical inventory and orders janitorial / custodial supplies. Orders parts, supplies, and other items as needed from pre-approved vendors or suppliers Talks on the phone with various vendors or suppliers for ordering parts, equipment, or scheduling service calls Schedules and secures rental equipment to be delivered/taken away Inputs travel information into the proper systems to initiate transport service request to various vendors Communicates with outside personnel such as vendors and contractors concerning service/repair work and take notes and reports as needed, if Director of Facilities is not available Communicates verbally with faculty/staff for maintenance, repair, or cleanliness needs Other light technology item use such as scanning documents and saving them Document basic field pictures and information to send to Director of Facilities Maintenance and Repair: Performs maintenance tasks including but not limited to ; paint work and repair, cleaning/custodial work, mopping, cleaning evaporator coils, cleaning/assembling/repairing furniture, operating an automated carpet cleaner, operating an automated hard floor cleaning machine, cleaning through sink/toilet drains, using carts or other devices to move furniture, window handle replacement, window shade adjustments, light bulb replacements, transporting and using a ladder safely, operate and complete satisfactory work with a gas pressure washer, hanging of simple items on walls, reset tripped circuit breakers, etc. Responsible for the safety of students and staff by ensuring areas are properly sanitized and cleaning up any spills or messes that may harm students or other employees. Checks and prepares exterior grounds (playground and outward/street-facing) for school day: including cleaning up campus from debris and trash, placing cones and equipment into proper locations, stacking up and organizing playground equipment/toys as needed. Supervises a parking lot or driveway post for student drop-off or pick-up daily: This is including student management, vehicle traffic control and counting and reporting of cars/traffic flow. Ability to set-up/take-down for special events: Including moving chair carts and set up, carpet tile installation, drapery hanging, and operating mobile riser seating. Ability to set-up/take-down, prep, and clean up in small time frames for daily lunch service: This includes 14+ round tables and 8 chairs per table. Required Knowledge, Skills & Abilities: Flexibility and adaptability to meet the needs of the children and school Ability to work collaboratively in team situations Ability to work in a Microsoft Windows environment using Microsoft Office Ability to work outside in all weather Self-motivated individual with ability to manage his/her workload and shift priorities as necessary. Exhibits good judgment, self-confidence, cool headedness, and common sense Must demonstrate competency using and maintaining hand tools and power tools High School diploma or GED preferred.
