Top Brooklyn Construction Company looking for a front office administrator to augment our team. Spanish Speaking is a plus. Prior experience in construction/plumbing industry is a plus. Office work · Take all incoming calls into the company. · Look over all emails from general company email and delegate them to the appropriate people in a timely fashion. · Small parcel shipments (i.e. FedEx), incoming & outgoing. · Mail outgoing & incoming. · Order all office supplies. · Fill out paperwork for license changes, address changes, and other license related matters · Schedule & Pay cleaning Crew Service Coordination Work · Take service calls · Dispatch service techs · Gather costs and send bills to customer for all jobbing and small job invoices. · Follow up on payment requests Data entry · Save all AP invoices to job costing folders · Review and save all AP invoices for mistakes and make sure items seem to match the job · Enter all invoices into QuickBooks for bookkeeper. o Classify each transaction Benefits Health insurance Paid time off Dental insurance 401(k) Vision insurance Life insurance 401(k) matching Health savings account
