Maintenance Supervisor Job Description Reports To: Property Manager/Regional Property Manager The Maintenance Supervisor is responsible for the execution, implementation and close supervision of preventive maintenance, preservation, and upkeep of all buildings and equipment, property housekeeping, completion of resident maintenance requests, prompt vacancy preparation for re-rental and for the employment and training of qualified and competent Maintenance Technicians, when necessary. The Maintenance Supervisor will provide continuous coverage for emergency situations and coordinate all periods of absence from the property with the Property Manager. Maintenance: Regular inspection of buildings and grounds. All noted deficiencies will be communicated to the Property Manager. Inform the Property Manager and Regional Property Manager of observed deferred maintenance, noting specific locations, conditions, and recommendations for corrective measures. Supervise and assist the Maintenance Technicians, providing direction and guidance; assigns all job work priorities, determining the extent of repaired and necessary corrective measures, with an explanation to the Maintenance Technician of their duties. Ensures the prompt and proper completion of maintenance and repairs on all apartments, then returns the completed service request forms to the Property Manager. Regularly inspects the grounds and public areas to assure that employees are performing their assigned duties in maintaining adequate property cleanliness and upkeep of all public areas and grounds. Periodically review maintenance staff performance, informs staff of policies and procedures, and schedule training programs, as needed. Responsible for the control and operation of the maintenance shop, all mechanical equipment, and the project vehicle. Responsible for the organization of the office, shop, and garage. With the Property Managers’ approval, purchase all supplies, small tools, and equipment necessary for the maintenance operations of the property. Required to complete an annual inventory log of all project maintenance equipment and submit to Regional Property Manager by December 1st, of each year. Responsible for maintaining a daily mileage log for the property vehicle; if applicable Responsible to appear in court on behalf of the owner, when required. Provide continuous coverage of the property for any emergency situations. Assist with the development of goals and objectives for the property. Provide input for the preparation of the annual budget and rent increases. Prepare bid specifications and obtain competitive bids. Supervise all contract work and contractors’ performance. Coordinate and participate in all snow removal required at the property. Safety Responsibilities: Learn and ensure compliance with all company, local, state, and federal safety rules. Ensures that unsafe conditions are corrected in a timely manner. Responsible for the completion of any incident reports within twenty-four (24) hours of occurrence. Any incident shall be reported to the Property Manager immediately. Preparation and participation in emergency procedures manual and drills. Observe the “No Smoking” Policy for the community. No smoking in vacant or occupied apartments, boiler rooms, storage areas, or any common space. Smokers must be 24 feet from any building. Essential Job Functions: Fair Housing training/certification required annually. Demonstrate an ability to support and contribute to the community team. Operate vehicle and driver’s license required according to community needs. Demonstrate the ability to perform tasks described above without seeking outside contractor assistance. Must possess a positive attitude and the ability to smile under all circumstances. Maintain neat, clean, professional appearance at all times throughout the workday and/or whenever present at the community or company events.
