POSITION OVERVIEW Founded in 2007, the Willamette Valley Symphony is a community-based volunteer symphony orchestra comprised of musicians from throughout Oregon’s Willamette Valley. The WVS is a non-profit 501(c)(3) organization incorporated under the laws of the state of Oregon. We share a common passion for making music and for the beautiful Willamette Valley in which we live. The orchestra performs five concert sets a year. The Executive Director acts as the chief operating officer of the Willamette Valley Symphony, managing all human, financial, and operational resources to achieve the Symphony’s mission and vision. The Executive Director reports to the Board of Directors and is responsible for implementing policies set by the Board. The Executive Director works closely with the Artistic Director and with the Board of Directors to ensure the smooth operation, health, and development of the Symphony. Many tasks may be delegated to volunteers or contractors, but the Executive Director organizes and coordinates those efforts. RESPONSIBILITIES Artistic Administration: Assist the Artistic Director in the development, implementation, and monitoring of the orchestra’s artistic objectives, including the selection of guest artists and programs. Negotiate and prepare contracts for all guest artists within budget parameters set by the Board. Arrange hospitality and other support for guest artists Concert Production: Help, in consultation with the Artistic Director, to develop an annual master plan for orchestra operations, including rehearsal schedules, concerts, and audience development. Direct the implementation of the master plan. Prepare and arrange for the printing of concert programs and tickets. Arrange and sign contracts for concert venues. Obtain required equipment, licenses, and permits for performances. Organize and coordinate ticket sales operations. Ensure that rehearsals and concerts have adequate support staff. Attend rehearsals and concerts as necessary. Marketing and Promotion: Develop and implement a marketing plan for subscription campaigns and individual performances, using appropriate advertising and publicity to achieve maximum season and single ticket sales. Maintain relationship with media contacts; generate orchestra feature stories and event announcements for print and broadcast media. Prepare and arrange for the printing and distribution of marketing materials such as season brochures and concert posters. Release online marketing materials and communications to the webmaster and make sure that the website and social media pages are up to date. Fundraising: Organize and implement donor campaigns, maintain donor records, send thank-you letters and receipts. Investigate grant opportunities and coordinate grant-writing efforts. Assist the Board and other volunteers in seeking advertisers and sponsors. Support any other Board fundraising efforts or special events. Finance: Work with the Treasurer to ensure that accurate books of accounts are maintained and to manage bank accounts as directed by the Board. Work with the Treasurer, Artistic Director, and Board President to draft an annual operating budget and submit it for board approval. Make financial transactions as needed in accordance with the approved budget. Work with the Treasurer to prepare monthly financial reports for the Board. File federal and state tax forms. Administrative: Attend all meetings of the Board; prepare and present reports for meetings as required. Help to identify and recruit qualified candidates for Board membership (as needed); assist with new member orientation. Handle correspondence, including patron suggestions and complaints. Maintain documents according to legal requirements and/or Board policies and procedures. Maintain adequate insurance to protect the orchestra’s assets/property. Maintain annual performance license and charitable organization reporting. Musician Support: Serve as principal spokesperson/liaison to the orchestra for policy issues and non-artistic matters. Coordinate administrative aspects of auditions to support the Artistic Director. QUALIFICATIONS: Bachelor’s degree from an accredited university/college (preferred). Two to five years of leadership and management experience with an orchestra, performing arts organization, or other non-profit organization. Demonstrated communications, organizational, and managerial skills. Strong financial management experience and reporting skills. Excellent marketing and social media skills. Ability to work independently as well as with a team. Familiarity with symphony orchestras. Basic office computer tools skills (word processing, spreadsheets, presentations).
