I need a lead/executive/personal assistant who can wear many hats—an individual who: Is organized and admin-minded. You’ll need to keep an eye on the big picture while paying strong attention to detail. I'm looking for someone who can coordinate my home office support team while simplifying and optimizing office systems and interfaces. Is truly computer savvy. Please apply if you have experience with Macs and a range of software, and can help to track expenses, lab results and other data. Bonus if you have experience with web design/programming. Is comfortable with responsibility. I need you to be an effective medical advocate, whether over the phone/email, in person when I go to appointments, or in the unlikely event of a crisis. You’ll play a lead role amongst your fellow assistants to ensure my support is coordinated throughout the week. Is a good writer. You’ll be handling my email/text/phone communication. I’m a writer myself, and it’s a point of professional pride that our correspondence reflects competence. May have a creative streak. Not a requirement, but certainly a bonus. If you’ve ever found yourself wondering, “how can I make this spreadsheet look more appealing, while I’m making it more useful and efficient?” you will fit right in here. Responsibilities include: office management (tracking expenses, creating spreadsheets, entering data, updating inventory, ordering supplies, general organization, communicating/coordinating with a team of creative professionals), and some tasks shared by all support staff (email correspondence, taking dictation, scheduling appointments, internet research, shopping, errands, writing/editing, creative collaboration). Hours/Days: I'm looking for 1 to 2 individuals who are available to work roughly 20-40 hrs/week. The shift configuration is flexible, and the times I am seeking coverage for are Monday-Friday from around 12pm until 11pm. For example, you could choose to work evenings (roughly 8pm - 11pm) every weeknight, or 2-3 long days (1pm - 11pm), or have shifts 3-5 days/week (12pm - 7pm), etc. If you are available for at least 20 hrs during the window listed above, and able to commit to a regular weekly schedule, please let me know your ideal hours and availability in your cover letter. We need someone who: is able to focus on details while tracking lots of diverse (and occasionally eccentric) tasks; is an impeccable writer/communicator; is capable of providing compassionate support to a chemically sensitive employer; can commit to a year of employment (and fine print: has a driver’s license, can pass a background check, is willing to sign a nondisclosure form, lives locally (near Santa Fe), and has professional references). You may want to know more about me, too. For context, is a talk I gave a few years ago, speaking about my previous project. You'll work primarily in an office/casita adjacent to my home (a few minutes from Harry’s Roadhouse); also in a vehicle—mine is sometimes available, but you should also have your own as backup (I reimburse your personal vehicle use for errands). There’s also some work-from-home potential if you like. Things to consider: Performance expectations are high; there’s lots to remember and learn (especially at first, and especially regarding my chemical and electrical sensitivities); you’ll have to refrain from wearing all fragrances (yup, even that one you really, really like); you’ll need to wear a mask while working in the main house or while sharing a vehicle (your vaccination status is your business, but you must be willing to minimize risk as much as possible). There is a mandatory paid trial period, to make sure its a great fit for everyone.
