General Function Under the direction of the Property Operations Manager, this position plans, coordinates and oversees various daily administrative business functions of the Maintenance and Property Operations Departments. Establishes standard protocols and processes pertaining to administrative functions at the Centennial Office. Major Activities (Typical Duties/Responsibilities) Prepares purchase requisitions. Handle credit card reconciliations. Oversees and handles all corporate administrative responsibilities for the entire office. Handles all receptionist duties including greeting walk in clients. Provides first line of information for client questions. Provides one point of contact for staff regarding office building concerns/problems. Manages overall appearance of administrative office. Directly responsible for office supplies, including purchasing and inventory. Assists in drafting correspondences. Responsible for all equipment inventory lists, leases and performance resolutions. Responsible for maintenance and useful life information of all office equipment. Provides support for general office functionality, including workspace moves, new employee set up, storage, and office equipment needs. Inputs client data into corresponding databases. Manages and coordinates the inflow and outflow of correspondence (including mail) for the administrative office and property sites. Coordinates timely delivery of Invoices and payments (checks) received to CIHA accounting for immediate processing. Handles travel arrangements for Maintenance and Property Operations staff, including travel authorizations and vouchers. Insures information and procedures are current on the intranet. Maintains corporate calendar of events and activities. Responsible for general office safety. Assists in the design and implementation of an Operations disaster and safety plan. Assists in the organization of company wide employee staff and public events including set up/clean up, securing location and equipment needs, and ordering food. Prepares and documents processes and procedures for administrative functions. Coordinates the development of standardized templates and forms. Provides general administrative support to the Director, Senior Manager, Managers, and Supervisors, as necessary. Provides direction and coordinates other administrative staff as needed. Performs other related duties as assigned. Skills/Abilities High level of proficiency with Windows, Microsoft Office Suite, TenMast, ReqLogic or other databases. Strong interpersonal, communication, supervisory and organizational skills. Strong organizational skills and attention to detail. Problem solving skills. Ability to organize projects and manage records and supervise and coordinate other support staff in these efforts. Multi-tasking skills. Valid Alaska Driver's License Typing speed of 50 wpm. Education and Experience 4 years’ experience in office management; required. College graduate with degree in business or coursework in office administration will be accepted in lieu of or in combination with work experience.
