We are a fun, social, and very busy couple leading a dynamic life. We'd love to find an equally fun and dynamic personal assistant to help us with a wide assortment of tasks ranging from quick and tactical all the way up to large scale strategic planning. We also have a 7 year old son who is awesome. I'm sure all parents say that but you'll discover that he's pretty much universally liked. We really need somebody to operate in a full-time role. We have enough work for you to do that we should be able to keep you pretty busy. We're looking for a year-long relationship at the very least so you need to be able to commit to that timetable. We'll pay well, but the catch is that we're looking for a pretty special person, as you'll see below. I hope that's you. We'd like to build a long-term relationship with you if you have the following characteristics: You have an upbeat, proactive, can-do attitude * Our life involves many large and small tasks ranging from physical errands all the way up to significant travel planning and large scale party planning * Life is too short- you're a basically happy person with whom we'd want to have a drink with from time to time You are a strong communicator * You have clear, concise, and articulate written and oral English skills. * We care a lot about that because you will eventually be representing us to our community so we require high attention to detail and a professional demeanor. * We are a bi-lingual household in German and our son is learning Mandarin. An exceptional candidate would also speak those languages. You are a master of discretion * To succeed in this job, we need to involve you closely in our lives. To do that, we need to be confident that what we share with you will stay with you. You're a discreet person in general. You are goal-oriented and completion-oriented * We care about getting stuff done with a high level of quality. We make lists and check things off of lists. You do too. You have strong technical skills and are comfortable with technology * We are a digital household and we communicate primarily with text messages, Google docs, and apps like Signal and WhatsApp. You are already proficient in these systems and use them regularly in your life. * At least one of us is a big nerd so we'll be sharing a lot of spreadsheets with you. * You like technology in general and have positive feelings about interacting with a completely digitally automated home * We do event planning and communication with tools like Paperless Post, Shutterfly, etc. You are comfortable with these tools and have used them before. * You have good digital hygiene in a professional context. You manage your email, text messages, and digital documents effectively. You're organized and nothing gets lost. You have strong financial skills * We will be giving you access to financial tools to get your job done. You have strong judgement about making purchasing decisions and are comfortable keeping and presenting an accounting for your expenditures. * You are highly responsive during reasonable hours * You have your phone with you all the time and are comfortable responding quickly to acknowledge when we send you a message during daytime hours, including on weekends. You have strong time management skills * You are highly punctual, oftentimes early. * You are fantastic at estimating completion times for small projects * You're great at communicating timetables and status for longer-term projects Ok, you've got this far which means that you might be the person we're really looking for. We hope so! As we build a relationship we'll add to this list, but for now, here is a basic overview of the type of work that we'll start doing: Here are some broad categories and the associated types of tasks: You'll perform a wide range of on-site tactical tasks * Opening and routing physical mail and packages. We get a ton of stuff showing up to our home and need somebody to do something smart with it. * Receiving and returning packages. Especially when we're traveling we need somebody to be able to show up and grab stuff for us. Returning is oftentimes as easy as walking it down to UPS. * Pick up prescriptions, drop off and pick up dry-cleaning, lots of little errands - most of which can be bunched up and done once or twice a week. * Tidy up our home. We're generally good about this and we have bi-weekly cleaning, but there's always some amount of clutter. You'll do some minimal tidying. You'll do scheduling and coordination tasks * We have a very busy life and oftentimes need support in making sure that our weekly calendars are aligned and we're not booking conflicting times * We have a lot of travel coming up in 2022, we need somebody to work through it all and set up a travel calendar for us * We need a task manager who proactively maintains task lists, provides reminders, and follows up to make sure that tasks are completed You'll coordinate our home * We have frequent houseguests - they need access to the alarm system, door locks, etc so that they can get in and out * We have vendors like handymen, house cleaners, gardeners, etc - we need somebody to be present to make sure that they are let in and work on the right things. * We will need you to find new vendors as appropriate, negotiate rates with them, set schedules, and hold them accountable You'll do event planning and trip planning * We have at least one big party a year with anywhere from 80-120 people attending. This requires a long leadup in terms of party planning, sourcing vendors (bartender, wait staff, door staff, etc), planning a menu, etc. * We have at least 4 significant trips a year that require destination decisions, scheduling, flight planning and booking, destination sourcing, planning, negotiation, etc. Over time, the types of tasks that you work on will evolve as we learn how to work with each other.
