As an Administrative Assistant, you will perform various administrative tasks in support of the office and field teams. You will play a key role in the success of the company as the first point of contact for client inquiries, as well as any internal and administrative needs. As an Administrative Assistant, you will: • Manage the front desk area (greet all visitors in a warm and friendly manner) • Answer incoming calls and send messages via internal email • Conduct clerical duties, including filing, office management, ordering office supplies, responding to emails, overseeing all incoming and outgoing packages/mail, assisting with correspondence • Interact with clients and vendors • Maintain administrative systems and processes • Coordinate paperwork for shipments • Update and maintain databases, including entering work orders, purchase orders, and invoicing into accounting system (Deltek/Ajera) • Manage delivery of processed invoices to clients and collate received payments for deposit • Coordinate daily scheduling of field technicians with clients and project managers • Proactively build team culture and promote a fun team-oriented work environment by planning employee functions • Serve as branch liaison for the corporate office communications (Human Resources, Accounting, Recruiting, and Marketing departments) The successful candidate will be well organized, detail oriented, self-motivated, able to handle confidential information, as well as have a demonstrated ability to respond to changing workloads and priorities. Position Requirements: • Associates Degree or equivalent preferred • At least 5+ years of experience as an Administrative Assistant • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) • Ability to manage multiple assignments simultaneously • Excellent written and verbal communication skills • Excellent organizational and problem-solving skills • Ability to communicate with a variety of groups, such as senior management, peers, and outside contacts on a professional level • Previous experience with Ajera (accounting software) preferred Interested candidates please apply at.
