Returns Coordinator Assistant Job Description The Returns Coordinator Assistant will process all customer and vendor returns and information, while supporting sales, warehouse staff and other departments. The Returns Coordinator will answer questions, input accurate return information on customer accounts and perform warehouse duties, including receiving and counting material along with making sure credited material is put back in the correct area within the warehouse. The Returns Coordinator will insure all accounting and billing will be reconciled properly for customers and vendors. Job Responsibilities • Asset tracking including physical assets, adding items to the system, asset lables, and tracking on a spreadsheet where necessary. • Support receiving discrepancies 2-3x/day to coordinating material to let purchasing know for correction of returning items, putaway. or re-order. • Adhere to companies return policy & triage script. o Provide recommendations to manager to returns policy as needed. • Responsible for unloading truck with return material, unpack returned merchandise, inspect packaging condition and asses paperwork sent in with return instructions for proper return procedures. • Inspect returned merchandise, checking for quality and condition of product to determine return category. • Receive merchandise, following companies return policy for package quantities, security and safety for each product type. • Distribute returned items to their proper location, adhering to warehouse put-away protocol. • Process Non-stock returns per company policy and coordinating with Vendors/Manufactures. Apply restock fees as necessary. • Work with Lighting and Switchgear departments with their returns and assist where necessary. • Process direct returns as needed with direction from Sales and Project Managers. • Input clear customer account notes in internal computer systems, communicating return reasons, customer feedback and instructions to ensure accurate processing. • During slow time for Returns, responsible for checking in with Warehouse Manager to help support the shipping team to pick, pack, and ship orders, normally from 3-5:30pm. • Insure all credit(s) are issued to customer’s accounts and accounting is closed. • Support wire and pipe scrap process as needed • Process all Vendor returns: o Maintain annual/Semi-annual/Quarterly/Monthly vendor return schedule. o Manually enter negative po. o Pick and pack material from warehouse. o Process all scrap returns and follow up. o Communicate with vendors as needed, including follow up. • Communicate with sales and vendors as necessary. • Retain and file paperwork for proper RGA back-up. • Maintain a safe and organized work environment at all times. • Other tasks as required to meet team and company goals. Skills or Experience • Must be fluent in English in both written and verbal format. Communication in English will be in complex business forms where translation is minimal. • Must be able to use & operation standard pallet jack • Ability to use fork-lift – sit down & stand-up. Certification/training options available. • Actively support team concepts and effectively communicate with team members. • Accurately follow directions, both written and verbal. • Maintain individual productivity and quality standards according to department requirements. • Focus and remain on task in a fast-paced environment. • Attention to detail. • Dedication to continuous improvement. Preferred Qualifications • 1-2 years of prior returns or similar experience. • Receiving experience • Computer skills (email, printers, excel and word). • Knowledge of warehouse operating procedures and protocol. • Prior experience in distribution, warehouse or inventory handling environment. • Knowledge and ability to operate inventory control and related computer software. Education High school graduate or equivalent experience. Department Reports to Purchasing department.
