This is a unique opportunity to assist a trailblazer in the wine country. We are seeking someone residing in Napa or the greater Bay Area who is excited to move to the wine country. High EQ, patience, worldly perspective and sophistication are the key to success in this role. You will be replacing the current EPA who is retiring and has been in the job for over 10 years. The primary focus of this Executive Personal Assistant is to serve and build valued relationships between the Principal (owner of hospitality, wine and real estate enterprises) and business-related stakeholders. This includes managing the day-to-day interactions and communications with these ventures. This is a diverse position having a variety of short and long- term projects to manage in addition to general administrative duties and daily assistance to Principal. Essential Functions: • Coordinate business related activities and communications between Principal and hospitality, wine and other business interests. • Provide both business and personal assistance. • Anticipate needs ahead of meetings, videos, phone calls, travel, etc. and get all information ready. Print all necessary documents and organize in an easy-to-understand order. • Foster and maintain positive relationships with all stakeholders, including partners, colleagues, bankers, clients, guests, employees, attorneys, community leaders, community members, friends, associations and key resources. • All assignments should be considered as confidential in nature and require considerable discretion, diplomacy, tact and good judgment. • Communicate with family as needed and occasionally assist Principal’s wife with travel reservations, calendar coordination, personal appointments, meetings, follow ups, gifts, amenities, occasional errands. • Draft and edit correspondence and maintain record of all communications. • Manage and coordinate Principal’s busy schedule and calendar. Update pocketbook calendar daily to match the Outlook version. • Coordinate frequent travel arrangements, both international and domestic. • Act as key contact for VIP visitors and partners. • Manage Contacts database. • Take on special short and long-term projects, as assigned. • Manage personal matters: medical records and appointments, personal affiliation memberships and occasional family matters. • Communicate with archivist for updates and collaboration on: filing system and database, book orders, wine libraries, personal home library. • Learn and understand all the various nuances of the family and business. Qualifications, Skills and Experience: • At least 5-year experience supporting a Senior Executive • Direct work experience with individuals of prominence and discerning taste • Experience in prestigious hospitality and wine industries desirable • Personally accountable, and equally effective, working independently or collaboratively • Warm and welcoming • Possess highest professional integrity • Strong management and organizational experience • Detail oriented, strong organizational skills • Proactive, honest, trustworthy; high ethical standards • Polished, cultured, well-traveled, global background a plus • Exceptional interpersonal, verbal, and written communication skills • Strong sense of communication etiquette • Ability to effectively manage simultaneous projects with seamless execution • Highly committed and self-motivated • Commitment to delivering excellent care • High degree of patience, flexibility and even-temper • Creative thinker with creative problem-solving skills • Strong, intuitive ability to deliver exceptional customer service • Foreign language skills a plus – especially French, Spanish or Italian • Proficient in MS Office programs, particularly Outlook, Excel and Word • Notary Public Commission preferred or willingness to study and take the exam • COVID-19 vaccinated Cultural Values – Successful candidates will share in the Family and Company values: • Loyalty • Humility • Warmth • Trust • Accountability • Patience • Passion • Long-term vision • Team work • Family business Please list 3 main reasons you would be an ideal fit for this role when you submit your resume.
