Office Services Coordinator Position Title: Office Services CoordinatorLevel: ContractorLocation: Mount Olive NJ (MOC)Must provide a resume (no Phone Calls)Purpose of Position:This position provides a range of support services for the Mt Olive Corporate Office (MOC). As avisitor’s first interface with the business, this position serves as a representative to Mars, and willadditionally serve as the first contact for building access. The person will provide a set of site servicesrelated primarily to customer service, daily office maintenance, mailroom management, managementof records, supplies management, engagement, safety & security, reception, and administrationmanagement functions (as necessary). This position is responsible to handle services and someconfidential matters in a value added, customer focus mindset. This role must be able to recognizeopportunities for efficiencies, anticipate problems and be responsible for continuous improvements inareas of accountability.Principal AccountabilitiesSITE ENGAGEMENT• Support in the creation, customization and implementation of engagement programs andevents for the site. Ensure programs are aligned with our Mars, Inc. OGMS activities. To includeactivities linked to Mars Corporate Engagement Events, Health & Wellness, Sponsorships (i.e.Nascar), other segment sales/awareness and community events.• Manage and lead the Celebration’s Team to deliver inclusive engagement and celebratoryevents for the MOC office.ADMINSTRATIVE BACKUP• Provide as back up to MOC administrative assistant. This would include travel & expensesupport, assistance in meeting and event planning, and other projects as needed.BUSINESS CONTINUITY• Prepares and maintains office process manual and ensures site continuity and efficiencies.• Participates, as needed, in MOC Leadership meetings.OTHER• Performs related activities related to MOC site. This would include candidate meet & greets,MOC conference room scheduling and new hire orientations.• Partner with MOC IT support to ensure communication of visitors, new hires and overallupdates as related to IT i.e. VC equipment,• Partners with HKT Hub Site Leader Team for HKT Engagement activities, Safety & Security andprovides updates and recommendations to MOC Leaders and processes.Mission Critical Competencies• Process Management• Integrity and Trust• Customer Focus• Problem Solving/Action Oriented/Drive for Results• Approachability• Dealing with ambiguity• Creativity• Time Management/Priority Setting• Attention to detail• InformingKey Experiences/Functional Skills• At least 2 years practical business experience in office atmosphere.• Strong communication skills.• Strong customer service skills. • Knowledge of mailing procedures, ie.
