POSITION SUMMARY In this role, the Inventory and Distribution Center Administration Associate will be responsible for supporting inventory management and administrative activities for Stamford Distribution Center. S/he will provide administrative support to ensure day-to-day operations run efficiently and smoothly. This is a very dynamic working environment with job assignments shifting daily to accommodate the needs of the Foundation. The position is full time hourly, 40hrs/week (hours: 7:30 a.m. – 3:30 p.m. with a 45 minute paid lunch) and offers outstanding benefits and the opportunity to work with a great team, committed to the important mission of the Americares. DUTIES AND RESPONSIBILITIES: Warehouse Administration Cover the front desk -- answer the phones; schedule deliveries; screen drivers dropping off or picking up loads; greet and sign-in visitors; maintain visitor logs and records. Frontline screener to ensure Visitors and Staff adhere to Americares policies and protocols (e.g. COVID) concerning Visitors, Contractors, Landlord subs, Americares office staff and their guests. Primary contact on correspondences (phone, email, visits) with the main office for all distribution center business. Schedule product deliveries and keep distribution center management informed of in-bound and out-bound trucking confirmed appointments, maintaining online delivery schedule. Support Sr. Associate, Inventory & Distribution Center Administration in collecting and maintaining accurate inventory paperwork daily, including photocopying and/or scanning documentation, delivery it to the required recipients and maintaining hardcopy files. Create or transcribe distribution center logs, records, reports from handwritten paperwork into.xls or.doc. Respond to inquiries from the front office for product details, product photographs, etc. Participate in meetings and/or on project committees as needed and when appropriate as distribution representative on inventory matters. Other administrative duties as assigned, including but not limited to: Ordering supplies; Entering invoices into financial system; Performs other tasks and projects as assigned by Americares. Inventory Control Serve as back-up support to Sr. Associate, Inventory & Distribution Center Administration on inventory management activities, including: New item creation and management in online inventory software; Processing inbound deliveries of donated and purchased products – sorting and recording details in online inventory management system. Product management activities will require ability to occasionally lift up to 25 lbs and to use a hand operated pallet jack. Liaison with other departments on inventory issues and questions. Obtain and double-check all paperwork for data entry in preparation for entry into paper and electronic data systems. Ensure data integrity/uniformity throughout all entry and review processes. Interface with other departments on paperwork, issues, errors, and outdated and/or obsolete items. Prepares ad-hoc reporting on balances as requested. Functions as back-up to other Inventory Management staff in cases of absence. Process paperwork for route shipments & purchases as needed. DELIVERABLES: Thorough execution of all tasks required to maintain integrity and effectiveness of warehouse & inventory integrity process. Experience using hand-held computers/scanners and strong PC skills is required Basic knowledge of MS Office software (Word & Excel); email programs such as Outlook, and ability to do complex data entry and navigate within the Windows operating environment; use of internet, as well as detailed keyboard work in the Americares inventory system is required. Strong organization skills; attention to detail. Bilingual (Spanish) preferred. Must enjoy working with the public: visitors, drivers, maintenance vendors, donors. Must be flexible, with a can-do attitude and willingness to support the teamwith all administrative needs. Collaborative and active listener; must open to input and feedback, taking both verbal and written direction well High energy to power though complex work tasks while maintaining an even-keeled temperament to hourly shifting priorities Ability to come in early, stay late and work weekend/nights if requested during an emergency response by Americares or when workloads dictate Must be able to memorize specific intake/ picking/ and shipping instructions of dozens ofproductprocessioning requirements Work reliably and effectively, both independently and as part of a team Ideal candidate will have experience in all distribution functions preferably in a pharmaceutical & medical devices environment. Ability to hold and maintain lift truck license Must be able to comply with the Americares COVID19 standard operating procedures and policies Must have unrestricted authorization to work in the United States. Background Check Requirements This position requires a DEA background check Criminal background check will also be performed - applicant’s record must be clear of any drug-related offenses, no thefts, felonies, etc. Pre/post/ongoing/random-employment Drug Screen may be performed as a condition of hire and continual employment, both with and without cause
