Job Summary: The Development Coordinator will be responsible for providing administrative support for the Construction, Design, and Real Estate team of a rapidly growing fast-casual restaurant chain. The primary responsibilities will be assisting with project schedules, overseeing permit and license applications, managing development invoices, utility account set up, and communicating cross-functionally to all internal departments as well as external vendors, consultants, and contractors. Reports to Director of Design and Development This position will be remote; however, there may be occasional travel to NYC for company meetings. As the Construction Project Manager, you are responsible for exemplifying the company culture as well as: Communicate project schedules for all new store opens including updating critical dates in Microsoft Project/ Procore, distributing monthly development schedule report, and issuing start construction, date change, and store open notice emails Review due diligence reports to understand pertinent permit, licensing, and utility set up processes Assist with written landlord notices including requests for drawing approvals, credit letters, possession letters, and applications for landlord allowance Update tracking log for all development invoices including weekly correspondence to finance team Update soft cost tracking log which documents consultant contracts, add services, and all other development soft cost invoices for new store opens Assist with bid notification emails to architect and distributing bid packages to General Contractors and Vendors using Procore Assist Construction and Design teams in facilitating vendor quotes, purchase orders, and invoices Facilitate permit and license applications and payments required for new store opens including building, health, patio, business tax, etc. Communicate renewal information to Ops/Finance who manage renewals perpetually Facilitate utility account set up and service upgrades for new store opens Initiate Certificate of Insurance process including completion of New Store Insurance Surveys for inclusion to our policies and working with Insurance Broker to request Certificates of Insurance for new and existing stores Assist with managing all Development reports including Master Store List, Landlord Contacts List, and Historical Budgets Facilitate Built Environment Working Group by taking ownership of the master tracking log, gathering agenda topics from other departments, and distributing agenda/notes before and after each meeting Assist with the managing of prototype standards including communication of updates to architectural consultants, vendors, and Franchise partners Assist Real Estate and Legal teams by developing lease abstract for all new store opens upon lease execution and tracking of critical lease dates for all open stores File document management on Dropbox and in Procore, including new project set up and ensuring all documents and master lists in prototype folder are up to date Our Development Team challenges each other as well as ourselves to be the best. Desired skills for this position include: 1 - 3 years experience working in prior job-related field such as construction, pre-construction project management, store design, or real estate development. Experience with managing multiple construction projects simultaneously preferred; Multi-unit restaurant or retail experience preferred Excellent computer skills including proficiency in Microsoft Excel, Microsoft Project, and Microsoft Word. Experience in Project Management software preferred Strong organizational and scheduling skills Ability to work both independently and as a team player and thrive in a fast paced, high pressure environment dependent on managing multiple project timelines and schedules simultaneously.
