Property Manager Job Criteria & Responsibilities Manager Position – 1 BED/1 BATH APT IN BRECKENRIDGE, AVAILABLE Position reports to the office & takes direction from the office Hourly rate is $18/hr., maintenance work $23/hr., OT $27/hr. (6-month review) Full Time Position No health benefits; Company provides company vehicle, cell phone, credit card for gas & HOA billable expenses, Paid Time Off > 6 mo. Requires basic background check (DL & SS# required) & credit check Requires good driving record Hours: 8 a.m. – 5 p.m. 5 days/week Days off – To Be Determined After training Manager assigned 1–2 nights “On-Call” for emergency line The Property Manager position is a highly visible and critical role interacting on a daily basis with owners, guests and board members. The position requires a strong communicator who can work well on their own as well as in a team environment. Our managers must be able to work efficiently and multi-task on a regular basis to meet scheduled deadlines as well as handle situations timely, as they arise. This position requires an individual with an even-temper and friendly demeanor to handle sometimes difficult situations. A property manager needs to be a reliable and trustworthy self-starter who can independently problem solve issues. The position requires handling issues directly as well as knowing when to assign work to company resources as needed. The position requires management of other resources and follow-up to ensure work is completed timely and correctly. The Property Manager position requires the ability to meet the attached “performance evaluation criteria”. Duties include but are not limited to: DAILY 1) Inspect, maintain and clean all walkways, grounds and common areas. 2) Inspect all common areas and facilities for the purpose of discerning vandalism, theft, safety hazards and building integrity. 3) Report any problems you need assistance with to vendors/office. 4) Participate in 24-hour on call service for building maintenance emergency purposes. Ensure you have your cell phone on, charged and answer it at all times when on-call. 5) When the on-duty manager, check office answering machine first thing in the morning (8 am), noon and at 4:00 pm for any messages. Return owner & guest calls and take appropriate action. This is critical on weekends when no staff is in the office. 6) Keep owners and guests informed with respect to rules & regulations, notices and enforcing parking policies (Manager Binder). 7) Clean/inspect other manager’s properties during their days off. 8) Manage your time and resources to ensure all tasks are completed. Keep a list of needed supplies throughout the week to limit trips to Frisco & Silverthorne. Order supplies via HD Supply when possible. 9) Equipment Company Cell Phone - Charged and ready for day Answer calls timely (& safely). Check voicemail, text and email messages regularly. Office standard is we only call when issue is very timely – otherwise we text or email manager. Safety is always priority and expectation is you do not check texts or emails until vehicle safely stopped. Master Keys – Safeguard property master keys, lock vehicle to safeguard company property within. WEEKLY 1) Maintain all common area lighting from association stock (Use gloves to install high-pressure sodium bulbs). 2) Provide minor touchup painting, maintenance and basic repair of common areas and facilities as time permits. Track on billable maintenance sheet as this work is paid at a higher rate. 3) Advise office of needed maintenance outside of manager scope – to write up in our work order system for maintenance staff. Email is preferred. 4) Security Checks (as applicable) - Inspect the interior of each un-occupied unit (monthly or semi-monthly per HOA agreement), and document using a Security Check Sheet in unit and submit completed check sheets to the office. Report any issues within unit to office for timely follow-up. 5) Submit a ‘punch list’ of projects needing attention at the property to office. Schedule, coordinate & track the needed repairs with vendors. 6) Arrange for non-routine maintenance to building and facilities. Supervise the work performed by individual sub-contractors to ensure completion i.e., Irrigation/repairs etc. 7) Maintain a reasonable inventory of parts, materials, supplies and equipment necessary to maintain association. Reorder supplies as necessary using the complex name as Purchase Order Number. 8) Report any weekly duties not completed to office. 9) Equipment • Company Truck – Wash, clean & organize Coordinate service as needed Report any issues/concerns to office SEASONAL 1) Winter Prep: a. Schedule & coordinate sprinkler system winterization. Heat tapes turned ON if applicable, crawlspace heaters if applicable, checking unit thermostats are set at 55 when doing security checks. b. Removal of snow & ice from common area sidewalks and walkways. This includes managing the attendance & performance of those individuals assigned to help you shovel. Manager shovels if snow under minimum contract levels. Ensure ice melt buckets out on properties & keep filled. c. Monitor heat tapes throughout season to ensure on and working. Monitor icicle buildup – knock down where accessible from unit & safe to do so. Coordinate roof shovelers for snow & ice buildup where historic leaks have occurred or buildup could fall on trafficked areas. 2) Spring Prep: a. Heat tapes, crawlspace heaters & other snow-melt systems OFF. Schedule & coordinate sprinkler system startup. Daily trash pickup as snow melts. Maintain existing landscaping including lawns and flowerbeds. Daily watering and trimming as needed. This includes managing the attendance & performance of individuals assigned to assist you with landscaping. b. Sweep or power-wash parking lots as applicable. Blow out exterior hallways/sidewalks as needed.
