Accountable to: Program Director Position Description The facilities maintenance coordinator works in residential substance use treatment settings; using his/her experience in various construction trades such as plumbing, electrical and carpentry to maintain the overall care, safety and cleanliness of Pathway Society facilities. The position is responsible for maintenance, repairs and inspections at one residential treatment facility, eight transitional housing units and two small office suites. The facilities maintenance coordinator frequently interacts with clients, sub-contractors, and co-workers and requires the use of decorum, professionalism, courtesy and effective communication techniques. Primary Responsibilities • Receive, prioritize and complete work orders in a timely, efficient and concise fashion • Prioritize and re-adjust calendar and schedule based on immediate needs of the facilities • Complete routine inspections for preventative maintenance and compliance with safety standards, verifying that facility plumbing, electrical, HVAC, roofing, drywall, flooring, and yard landscape are in good repair • Perform building maintenance projects involving carpentry, painting, drywall patching and painting, electrical and plumbing • Assemble and move client and/or staff furniture as needed • Install, repair and maintain a variety of plumbing fixtures; including sinks, toilets, faucets and related equipment • Troubleshoot issues by conducting research and/or reaching out to contractors for support • Maintain and operate all facility fire/emergency equipment including facility fire panel, egress lights, fire extinguishers and alarms, inspection of sprinkler system and coordination of monthly fire drill • Submit work orders with equipment vendors including vending machines, phone systems, water dispenser, HVAC units, washer and dryers, alarm system, wheel chair lift, and other leased or company owned equipment • Facilitate vehicle inspections, maintenance and documentation for five company vehicles • Drive company vehicle between facility locations and to various stores to procure supplies • Operate equipment and tools such as drills, saws, levels, testing devices and trade specific tools • Procure facility items through the use of purchase orders and/or corporate credit card and submit receipts in an organized and timely fashion. • Promote a safe work environment by modeling proper use of tools and equipment, proper lifting techniques and identifying hazardous situations • Efficiently and safely organize, inventory and store maintenance products and equipment • Ensure effective telephonic communication through use of company issued smart phone, by answering phone calls or returning voicemail messages within two to four hours • Regularly access company email on computer or smart phone and return emails within 24 hours • Schedule and complete tasks within a 40-hour workweek using minimal overtime • Respond to weekend and evening voicemails for urgent facility needs (minimal) • Perform other duties and tasks as assigned by supervisor Qualifications • Minimum 2-4 years’ experience in facilities maintenance and high school diploma; or equivalent level of education and experience • Ability to work independently with minimal supervision and in a collaborative environment • Knowledge of and experience using Microsoft Word, Excel, and Outlook email, online timekeeping system and smart phone • Work well under frequent interruptions and firm deadlines • Strong ability to communicate with clarity, courtesy, and professionalism both orally and in writing/email with sub-contractors, government agencies, landlords, and co-workers • Experience in safely operating and maintaining a wide variety of hand, power, and shop tools and equipment common to the fields of plumbing, electrical, carpentry and related fields • Maintains appropriate personal and professional boundaries with clients and co-workers • Receive training and pass certification testing in the areas of HIPAA and 42 CFR • Must pass comprehensive background check, reference check, and possess a valid driver license, current auto liability insurance and a clean driving record Average Daily Activities by Percentage of Time 50% - physical labor or supervising of contractors 15% - property inspection/assessment 15% - driving/procuring supplies 20% - attend to email, voicemail communication and use of computer Ability to lift/carry materials (supplies, replacement parts, ladders etc.) • 50-75 lbs. – rare need • 25-50 lbs. – occasional need • 1-25 lbs. – constant need Ability to perform the following physical activities for 65% - 100% of scheduled work shift: • Bend/stoop/squat/kneel – perform routine maintenance and repairs, picking up tools and other equipment. • Climb stairs and ladders – perform multi level service requests • Push or pull – move equipment, opens and closes doors etc. • Reach above shoulder – perform routine maintenance/repairs, stock and remove equipment, parts etc. • Grasp/grip/turning – handle tools and equipment, perform routine maintenance repairs. • Finger/dexterity – handle tools and equipment, perform routine maintenance repairs. • Writing/typing – inventory of items, purchase orders and required maintenance reports • Hearing - perceiving the nature of sounds at normal speaking levels with or without correction, ability to receive detailed information through oral communication, and to make the discriminations in sound. • Visual acuity - perform activities such as: preparing and analyzing data and figures, viewing a computer terminal, and assessing the work area. • Ability to walk, sit or stand for 75% of scheduled shift Other Duties This job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
