Administrative Assistant—Historical Association of Woodbridge Township -- Part Time The Administrative Assistant (AA) serves as a primary point of contact on all matters pertaining to the Historical Association of Woodbridge Township (HAWT), and provides administrative support to the President of the Board of Directors as well as the Board itself. The AA ensures that the President is able to execute an ambitious vision and strategy by assisting the Board of Directors in executing HAWT's mission. The Administrative Assistant will act as a receptionist for the museum (when it opens), providing professional service to all who enter, and act as a liaison between the patrons and the Board of Directors. The AA will be assigned to a variety of special projects, organizing and coordinating external relations and inventory recording. The ideal candidate deeply understands the importance of being part of a unified team in representing the Director and Board, and as such is a thoughtful, proactive, and gracious communicator for the museum and the membership of HAWT. Hours will vary per week, and some flexibility in scheduling is required. Qualifications: A successful candidate will meet many of these requirements, and have the desire and capacity to learn the rest on the job. Experience as an administrative assistant for senior management, ideally in a history and/or nonprofit environment Familiarity with Microsoft Office Suite and Google; calendar scheduling experience is a plus Ability to thrive independently in a mostly volunteer membership environment that is mission-driven, results-focused, and community-oriented Impeccable attention to detail, strong judgment, and superior problem-solving capabilities Excellent oral and written communication skills and professional email/phone etiquette Passion for the HAWT’s mission and programming, and an interest in Woodbridge Township history Responsibilities: The AA serves as a primary point of contact for internal and external constituencies on all matters pertaining to HAWT. The AA will also: Provide intuitive and proactive support to the President, meeting deadlines and operating with a keen sense of balancing shifting priorities in a fast-paced setting Assist in managing calendars, including scheduling and preparing for meetings, managing calls, and following up on meeting needs; prepare for general HAWT membership, committee and Board meetings as needed Answer phones, greet guests, and represent the public face of HAWT Coordinate special initiatives and projects, from research to implementation Prepare correspondence, and provide other written support; ensure the President’s contacts are up to date Maintain HAWT’s office spaces, including the kitchen, and public areas of the museum Provide high-level customer-style service to members and museum visitors Sort incoming mail for the President and the Board Other responsibilities as assigned.
