General Functions Under the general guidance of the Housing Outreach Coordinator, the Rental Assistance Intake Coordinator will help administer and process the internal rental assistance applications for funding for CIHA residents impacted by Covid-19. The Rental Assistance Intake Coordinator is a high-level position that requires the ability to process a large number of rental assistance applications and correctly determine both eligibility and the amount of assistance required. The Coordinator must have the ability to work with large diverse group of residents to gather all required documentation needed to assess the resident’s situation rapidly and accurately. Major Activities (Typical Duties/Responsibilities) • Work with residents on applying for internal rental assistance for those impacted by COVID-19 with their initial assistance. • Process applications for income eligibility and determine amount of assistance. • Monitors resident’s progress by maintaining contact at least quarterly and if needed perform a quarterly recertification for income and assistance determination. • Consistently track and measure program outcome targets and progress, and regularly report this data to supervisor. • Proactively engage Community Directors and Rental Property leadership to identify program participants. • Document all resident case notes in TenMast. • Coordinate with Community Directors and other Operations staff to understand CIHA rental obligations, notices and policies/procedures that may affect resident receivables. • Provide status reports to Community Directors and leadership as required. • Assist Housing Outreach Coordinator with outcome tracking and reporting • Manage a caseload that includes residents across CIHA portfolio and works with multiple Community Directors. • Develop and maintain productive relationships with Community Directors and other Operations staff as required. • Engage in program design and evaluation to streamline processes and improve program elements. • Travel to site properties as required. • Performs other duties as required. Skills and Abilities • Ability to: o effectively communicate both verbally and in written form, including with third-party organizations and individuals; o build and maintain relationships with property staff and Operations Leadership o work cooperatively with case managers, program administrators, and program evaluation staff o exhibit excellent interpersonal skills and successfully utilize conflict resolution skills when required; o represent the organization professionally in dress, demeanor, and communication o manage multiple projects and deadlines effectively o collect information quickly and work independently to solve problems and manage conflict o work independently and with minimal supervision; o set/direct own schedule to meet deadlines; o gather, analyze, classify data and prepare accurate, concise and meaningful reports, draw conclusions and recommend improvements; o read, analyze, and interpret policies and procedures, as well as applicable laws and regulations; o interact with a culturally diverse demographic; • Knowledge of Alaska landlord-tenant laws. • Must be highly proficient with Word, Excel, MS Office, and Outlook with an aptitude to easily learn other software applications. Education and Experience • Bachelor's Degree in business, economics, property management, psychology, or similar field of study. Experience may be substituted for education on a two for one basis. • Four years increasing responsible experience in real estate, property management or facilities management. • Current AK Driver’s License.
