Primary tasks include Customer Service Communications, Order Entry, Assisting the Manager with Estimate and Invoice Preparation for AliGraphics, which renders offset printing, digital printing and mailing services for the company and commercial customers. Develop positive rapport with existing and prospective customers and attempt to develop new business. Respond promptly to customer inquiries and provide follow up when needed. Keep detailed records of customer communications and transactions. Maintain client computer files and production files in an organized manner. Order Entry of new and reorder print requests into production system and inform management of any possible conflicts. Enter accurate stock inventory requirements on stock inventory list for all orders. Verify and troubleshoot files supplied by customers to properly identify any potential conflicts. Submit digital or paper proofs per customer or manager requests. Collect the proper attributes for all pricing requests and follow up with customers. Communicate with commercial and internal customers for new print request estimates. Assist the Manager in preparation of estimates for new print requests utilizing company software, subject to review by manager. Assist the Manager with communication of outside vendors to obtain pricing for outsourced projects, subject to review by manager. Review job ticket specifications and assure that all materials utilized to produce jobs were properly accounted. Complete accurate final preparation of all completed job tickets for final invoicing, subject to review by manager. Write purchase orders for materials and vendors, subject to review by manager. Assist production manager in maintaining paper inventory counts and pricing. Act in accordance with company policies and procedures. Performs other general tasks, not of a personal nature, as assigned by management. Education/Experience Sales experience in printing, preferably with a following. 5+ years in graphic arts. Coursework in management, customer service and/or production. Some college preferred. Knowledge of print estimating process. Knowledge of Paper and other materials relevant to the Printing Industry. Must possess excellent communication skills, both verbal and written. Working knowledge of software and hardware utilized in all facets of production. Must possess knowledge of both offset and digital printing terminology and standards. Excellent problem-solving skills coupled with the ability to think “outside the box”. Working knowledge of computer estimating software as well as written estimating. Must be able to work effectively and efficiently with other office and production personnel, group leader and manager.
