We are currently looking for a Office and Facilities Associate to help with sustaining a program, ensuring that the many different offices and facilities of the San Francisco-Marin Food Bank are working optimally for the staff member and for the organization. POSITION PURPOSE The Office and Facilities Associate works alongside the Associate Director of Facilities in ensuring that the many different offices and facilities of the San Francisco-Marin Food Bank are working optimally for the staff member and for the organization. The Office and Facilities Associate will coordinate general building maintenance, facility recordkeeping, vendor relations and security, ensuring cleanliness and presentation of office space and maintaining office equipment and supplies. ESSENTIAL FUNCTIONS AND BASIC DUTIES Office Communicates with various vendors and arranges maintenance and repairs of office utilities and equipment. Provides clean cubicles/offices stocked with necessary equipment and office supplies. Maintains on-site office storage and assesses needs including non-food storage in warehouse and supply closets and ancillary storage @ 999 Pennysylvania. Ensures adequate inventory of bags and gloves for Pop-Up Pantries Coordinates movement of archived documents to and from off-site storage. Purchases and performs inventory control of office supplies and uniforms and other staff related goods. Coordinates service/maintenance/supplies for copiers, fax machines, printers, and postage machine. Obtains bids, analyzes price comparisons, and recommends vendors. Maintain stocking of First Aid kits and AED kit Facilities Assists with facilities projects and building improvements; manages selected projects as assigned. Assist with building systems ensuring the proper maintenance, inspection schedules, HVAC, alarm, fire sprinkler, elevator, and other systems. Troubleshoots any electrical, plumbing, HVAC, and industrial building systems failures and arrange for repairs. Performs regularly-scheduled facilities walk-throughs inspecting for repair or maintenance needs and arranges for repair or maintenance when necessary Coordinate cleaning and maintenance of employee common areas and overall facilities to ensure excellent presentation. Assist with quarterly and annual cleaning needs and secures outside vendors to perform work. Keeps employees informed regarding facilities changes, other building news or maintenance issues. Assist with managing facilities planning and space allocation. Distributes keys and related security devices and codes; ensures proper scheduling of outdoor lighting and gates Performs monthly/quarterly/annual inspections Assists with preparing annual facilities budget All other duties as assigned QUALIFICATIONS One year of experience in office services and basic building systems. Action-oriented and excited to step up to challenges. Strong project management skills with a track record of completing projects successfully. A team player who is also able to work autonomously and requires little oversight. Excellent verbal and written communication skills. Comfortable multitasking, prioritizing requests, and having a can-do attitude. Creative problem-solving skills and strong sense of ownership that demonstrates motivation to seek additional responsibilities and/or implement procedural improvements PHYSICAL DEMANDS AND WORK ENVIRONMENT: (The physical and environmental demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. ENVIRONMENT: Standard office with occasional travel FINGER DEXTERITY: Requires typing on standard computer. TALKING: Ability to speak on phone and face to face. HEARING: Able to hear average or normal conversations and receive ordinary information. REPETITIVE MOTIONS: Frequent and regular movements using the wrists, hands, and fingers. AVERAGE VISUAL ABILITIES: Average, ordinary, visual acuity necessary to view computer screens and documents. PHYSICAL STRENGTH: NOT APPLICABLE. SALARY: starting at $22.76/hour COMMUNICATION AND COGNITIVE REQUIREMENTS REASONING ABILITY: Ability to apply principles of logical or scientific thinking to a wide range of complex intellectual and practical problems. MATHEMATICS ABILITY: Ability to perform advanced math skills, use decimals to compute ratios and percentages, and to draw and interpret graphs. LANGUAGE ABILITY: Fluency in English. Demonstrated excellence in writing and editing.
