The Property Manager position supports and assists in the management of manufactured home park community in accordance with the Management Agreements. The Property Manager is involved in all aspects of day-to-day operations of the property, including accounting, resident relations, maintenance and repair, security, janitorial services, landscaping, snow removal, etc. The Property Manager handles resident complaints and service requests, and must be familiar with the terms of resident leases. They market and purchase used homes to move them into the community. Specific Duties: Provide excellent resident service and open office from 9am -2pm Mon-Friday. Occasionally Saturday appointments as needed. Respond to resident requests/problems in a timely and courteous manner, and generate work orders directed to vendors or maintenance staff. Follow-up with the tenant to ensure satisfactory resolution of the issue. Ensure that there is 24-hour emergency coverage for the property at all times. Conduct periodic inspections of the property and resident spaces to ensure compliance with leases and the proper upkeep of the property. Assist with administering resident occupancy including providing the new resident with an introduction letter regarding emergency contacts, insurance requirements, rent collection procedures, and maintenance request procedures. Become proficient with property management software (Tenant Cloud). Coordinate entry of all property information into tenant cloud and establish reporting protocols for maintenance requests, preventative maintenance, vendor and tenant Certificates of Insurance, key lease date tracking, and home ownership records. Post late payment notices and eviction notices to residents as required. Coordinate to turn on any utilities for all park lots as needed including existing and new installation. General Duties: Collect all timecards and process for payment. Prepare, memos, faxes, email, maintain files, prepare expense reports and other administrative forms, copying, and arrange for courier service and overnight deliveries. Maintain adequate inventory of all office supplies and contact all vendors when maintenance is required on general office equipment. Coordinate regular inventories rehab materials and of all business property. Contractor coordination for home renovations. Obtain estimates/bids for repairs at the property. Generate and track Service Orders, approvals and distribution. Ensure that property and lease files are properly maintained and kept up to date in accordance with company policy. Prepare and maintain appropriate resident lease files, records, correspondence and file notes. Maintain office clerical, filing and record keeping systems Assist in preparation of transaction related documents. Maintain contact and other databases for company. Collect and organize all property information in a format for quick reference. Sort, code and ensure accuracy and compliance with contracts of all home sales. Produce and distribute monthly newsletter to residents. Coordinate and schedule appointments, on-site & off-site meetings and conference calls.. Show homes to qualified applicants Perform marketing ads on craigslist, FB marketplace, local businesses corkboards, to generate leads for new residents. Answer calls for existing and new residents, give them application and gather needed info to perform background check. Fill out purchase agreement and rental contracts for new residents to move into the park Enforce all park rules and hold residents accountable. Help automate parks operations Transferring legal ownership of existing home titles into the community name. Research used mobile home to buy and move into the community. Financial: Hold residents accountable for paying rent and utility bills on time every month. Investigate cost reduction opportunities. Assist corporate accounting with questions related to the property and resolution of vendor issues. Scope of Responsibility and Authority: The Property Manager is charged with supporting management's efforts in the day-to-day implementation of policies, procedures and programs that will assure a well-managed, well maintained community, placing maximum emphasis on positive responses to the concerns and needs of the residents, environmental health and safety, and quality programs in coordination and conjunction with the Owner's goals and objectives. These responsibilities include being on-call 24 hours, managing and delegating maintenance staff and contractors. Other Requirements: Part-time salary position with the incentive bonuses: Strong working knowledge of MS Word, PowerPoint, Outlook, and Excel. 3+ years of directly relevant Commercial Real Estate Property Management experience. Familiarity with maintenance accounting software (i.e. Tenant Cloud, etc.) a plus. Effectively prioritize and execute. Excellent people skills. Strong working knowledge of general office equipment (copiers, fax machines, scanners). Ability to effectively communicate both orally and in writing with peers, managers and clients. Dependable & flexible as well as possessing the ability to maintain a high level of confidentiality. Proactive, initiate follow-through. Solution oriented with ability to solve problems and get past obstacles. Must pass a Drug test screening and back ground check.
