JOB SUMMARY The core duties and responsibilities of the Administrative Support Specialist revolve around supporting others with all NEEBC (New England Employee Benefits Council - www.neebc.org) functions. This principally includes programming, membership and sponsorship tactical activities, customer service, and operational support. Her/His job duties can vary widely, not just from job to job, but from day to day at the same job. The ideal incumbent views herself/himself as a critical member of the NEEBC team focused on executing operational items resourcefully, flexibly, and professionally. Computer proficiency, polling and basic surveying technology, and social media familiarity is optimal. S/he is adept at problem solving, multitasking, collaboration and paying attention to details to ensure accuracy and member satisfaction. The measure of success will be teammates confident that the Administrative Support Specialist comfortably accepts direction, exercises stellar customer service consistently, and completes assignments accurately, competently, and on time. REQUIRED EDUCATION AND EXPERIENCE Associate degree or equivalent experience. Two (2) years of progressive office experience supporting professionals or equivalent.Proficient with word processing, spreadsheet and data base software, specifically Microsoft Office Suite (e.g., Word, Excel, PowerPoint). Demonstrated history indicating an ability to learn and use daily NEEBC’s MemberClicks database system (training provided).Experience with file-sharing technologies (e.g., Microsoft SharePoint, Google docs, etc.) preferred.Ability to use social media tools (e.g., YouTube, LinkedIn, Instagram, Twitter), Zoom, association mgt systems, SurveyMonkey, polling software, and Dropbox is valued.Strong verbal and written communication skills.Ability to handle sensitive and extensive confidential data. Discretion in handling member and financial matters.Flexibility and willingness to learn new tasks. PREFERRED COMPETENCIES Ability to handle a large variety of details and to work with all stakeholders.Excellent customer service skills and interpersonal skills.Ease with technology.WORKING CONDITIONS Part-Time: 28 hours per week (Monday through Friday). Additional time will be scheduled as needed during seasonal and programming spikes, with requests shared in advance with the Administrative Support Specialist.Middlesex Green Office Park, 561 Virginia Road, Concord, MA - Traditional office suite with modern conveniences, including neighboring walking paths, on-site gym and cafeteria.NEEBC observes specific weeks (week of July 4th; week between Christmas and New Year’s) during which vacation may be taken or will be unpaid time-off if vacation will be scheduled during other weeks.“Parents’ hours” welcome, with workdays planned to start at 9am, or 8am on program dates.PHYSICAL DEMANDS Frequently required to sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear. The employee is occasionally required to stand; walk; climb or balance; stoop, kneel, and crouch; and taste or smell. May regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
