Bay Property Management Group is a full-service rental property management company, handling residential and multi-family properties throughout Maryland, Pennsylvania, Virginia, and DC. From property maintenance to leasing, management and financial reports, we take a proactive approach to client services. We are searching for an Office and Maintenance Assistant to assist a team of four that is responsible for the management and maintenance of 8 residential buildings in Mount Vernon. This position will work closely with the Property Manager and have responsibilities in the office and on-site at one of the 8 locations. Schedule - 35 hours/week In Office Responsibilities • Pick up all mail. • Organized bills and scan to the Property Manager as needed. • Input payments in respective charts for our records. • Monitor weekly bills to make sure they’ve been paid • Notify Maintenance Technician of any packages that come in daily • Responsible for keeping all tenants up to date with renter’s insurance • Track and collect move-in inspection forms within the date required. (if not send a reminder email). • Maintain various charts and tenant files. • Update tenants via phone or email If assigned any work orders. • Schedule a date and time to make the needed repair(s). Other tasks may be added by tenants • Place all the necessary purchase orders (toilet sets, blinds, air filters, lightbulbs, cleaning products and tools (if needed). Out of Office Responsibilities • Pick up needed supplies for office, maintenance, cleaning, painting, and other building necessities. • Meet various contractors on site at all locations. (MFD licensing, elevator inspection, Local fire alarm inspections ect… • Perform the move out inspections before each unit has been cleaned and turned. Assist with the turnovers if needed. • Confirm each unit is ready for the next move in with keys, key fobs, and garage door opener if applicable. Additional needs may include lock changes or power outage checks. • Check overall building cleanliness and maintenance issues such as door locks, trash/recycling, light bulbs common areas and building safety. And wellness checks. Make sure all properties are functioning at a satisfactory level for tenants and staff. Requirements • Must be able to lift 50+ pounds • Computer literacy to include spreadsheets, outlook, and ability to adapt to new software programs. • Reliable vehicle as you will have responsibilities in the office and at our properties on any given day. • Strong interpersonal and verbal communication skills • Attention to detail
