Works under the direct supervision of the Lead Supervisor and Director. The supervisor is responsible for efficiently and promptly complete the daily projects and response to urgent requests of our clients. Training: All supervisors should be familiar with the properties they supervise. This includes: • know the property’s key contact persons • Know and understand the requirements/rules/needs/expectations of the client and property • Be familiar with the layout of the property • Know staff/cleaners/porters/painters, their assignments, and areas to which they are assigned • Know the standards necessary for meeting client expectations and effective quality control These skills are crucial when training new personnel and addressing issues with established employees. KEY RESPONSIBILITIES Hiring Process: 1. Determine the duties to be performed and select the best-qualified candidate. 2. Have the candidate fill out an Application 3. Set up interviews to select the best qualified candidates On-Call Staffing: • Provide appropriate orientation for the employee addressing such topics as duties and responsibilities. • Give employees the information and materials necessary to perform their jobs. • Training is an ongoing activity, crucial for new staff as well as for long-term staff who take on new responsibilities or who experience changes in the way their existing duties need to be performed. Assigning work and Scheduling: • Assign certain duties to the employee; explaining how those duties are to be performed (i.e. what level of performance will meet the supervisor’s and property’s (Client’s) expectations) • Communicate how the successful performance of those duties will be measured. • Ensure that the employee is working under a current job description and in a classification appropriate to the duties. • Follow up with properties on schedules, upcoming projects, quality satisfaction, as well as employee performance. Evaluating Performance: • Be sure your staff are familiar with 24/7CC’s Performance Appraisal form and clear about the evaluation process. • P performance evaluation during the probationary period are important in making decisions as to whether the employee should pass probation can be critical. • The initial probationary period is your opportunity to judge the suitability of an employee for a specific position. If you have any concerns about an employee’s performance during probation, contact the Administrative Personnel/Payroll Staff in the Business Office for assistance. Approving Labor Lists: • Maintain appropriate records of work being done at each property and their schedule • Labor Lists are due on the 1st and the 16th all employees must be aware of this and must understand the importance this has in relation to payroll. You are responsible for instructing all employees on how the lists are to be properly completed. • The Labor Lists must be scanned and emailed to the office. • All work must be approved by either Service Managers on site or yourself and be able to approve these lists by following up on work and. Ensure all work is authorized and being done with an appropriate P.O. Reviewing Attendance: • Maintain records of unscheduled absences and tardiness. • Address those issues with said employee. • No shows are unacceptable after confirmation. Resolving Complaints: • Address employees and resolve a wide variety of concerns and complaints from property managers and staff. These typically involve job duties and job descriptions, performance standards, relations with coworkers, relations with supervisors and managers. Discipline and Dismiss Employees: • Supervisors are responsible for documenting performance at least quarterly and keeping written records of performance issues. • Developing your staff. • Mentoring, and providing coaching. • Motivating your staff, individually and as a group. • Understanding and supporting diversity. • Establishing an effective team. Other challenges might involve supervising staff who work different hours than you; supervising employees who work in different locations. Property Visits/Daily Rounds: • Must visit assigned properties at least twice a week. • During your visit you are required to speak to the managers regarding any questions or concerns and offer additional services. • You must walk the property to inspect the grounds and any recent turns. • Speak to employees on site and maintain a line of communication with employees and office. Daily Check- In and Reports: • You are required to check in with Karina, every day at the beginning of your shift and at the end of the shift to debrief. • You are to maintain a daily supervisor sheet. • You are also responsible for keeping all receipts for purchases on company card if applicable. Turn in the receipts to the corporate office. General skills to build for effective supervision: • Setting goals and objectives • Providing assistance and support • Providing an environment for motivation • Creating a supportive working relationship • Emphasizing continuing development • Providing opportunities for future growth and advancement KEY JOB REQUIREMENTS 1) Formal Education: High School Diploma or GED required. Read, write, understand, and communicate in English/Spanish. 2) Work Experience: 6 months or greater of supervisory experience. Experience in service area desirable. Experience in construction and maintenance desirable. 3) Decision Making: Basic- Ongoing supervision is provided on a regular basis. Desired results are clearly defined; however, some independent judgment is necessary to select and apply the most appropriate procedures to achieve those results. 4) Problem Solving: Problems are generally standard/routine in nature. Answers are usually found by selecting from specific choices defined in standard work policies or procedures. 5) Responsibility for Directing Others: Has temporary responsibility or authority that is limited to the direction of co-workers. 6) Internal Contacts: Requires regular contacts to discuss issues of moderate importance and to respond to inquiries. Occasionally requires contacts with employees at higher levels on matters requiring cooperation, explanation and persuasion. 7) External Contacts: Minimal contact only to facilitate occasional job performance. 8) Job Related Knowledge: Has good interpersonal and communication skills. Read, comprehend, and follow written and verbal instructions. 9) Required Licenses, Certifications or Registrations: Osha Certification desired. Driver license.
