Whatcom Community College invites applications for a Mail Processing-Driver Lead (Class Code 113K) in the College’s Copy, Print & Mail Services. This recruitment is open to ALL qualified applicants. Reporting to the Copy, Print & Mail Services Manager, this position will oversee the daily operations of the mailroom to ensure the timely and accurate shipping of letters and packages. Responsibilities include delivering, collecting and processing both foreign and domestic mail, resolving routine customer problems as well as operating mailing and tracking equipment. Maintains departmental records and provides periodical reports. Informs faculty, staff and other users of cost effective ways to ship/mail. Provides the copy center support with mailings. Directs the work of lower level staff. This is an in-person position, not eligible for remote work. Job Responsibilities Include but are not limited to: -Collect and sort mail and packages including bulk, insured, certified, international and regular mail. -Prepare international mail and packages; verify addresses, research restrictions and prohibitions to prepare customs documents. -Operate postage meters and other office equipment such as postage scales and tracking equipment. -Direct the daily work, and train lower level staff and ensure mail quality control standards are met for proper postage rates, correct use of mail classifications and compliance with U.S Postal Services regulations. -Deliver mail and packages to campus locations and off campus clients using campus vehicles. -Navigate the Neopost and the U.S. Postal Service software for completion of paperwork and file necessary forms with the U.S. Postal Service. -Answer all faculty, staff and customer questions related to mail and delivery. -Instruct mail services staff and other college employees about the proper preparation of certified, insured, registered, bulk mail and package services. -Identify potential problems, solutions and cost saving measures. -Maintain operation and account records to produce monthly expenditure reports. -Perform routine equipment maintenance and update software as needed. -Oversee mail routes and delivery stops, recommend route changes and implement approved changes. Qualifications, Salary and Appointment Minimum Qualifications: -High school diploma or GED. -Possession of a valid, unrestricted, driver’s license and proof of insurance. -One year of experience sorting, processing and delivering mail using postal and tracking software. Preferred Qualifications: -Two years mailroom experience. -Experience in a community college/higher education work environment. -Ability to create and maintain spreadsheets for tracking and reporting. -Experience with Postal One, Neopost and BCC Bulk Mailer mailing software. -Understand postage meter and shipping software. -Knowledge and understanding of Standard mail and Periodical mailing regulations and rules for preparation of bulk mailings for both commercial and non-profit. -Remain focused on task, working efficiently and handling interruptions appropriately. -Adapt easily to changing operational needs, conditions and work responsibilities. -Strong customer service skills. -Develops innovative ideas that provide solutions to all types of workplace challenges and brings ideas to supervisor. -Ability to establish and maintain positive relationships with USPS personnel, commercial drivers and sales/service representatives. -Uses motor vehicles, pallet jack, hand truck and carts in the transport of materials. -Earns the trust, respect and confidence of coworkers and public through consistent honesty, forthrightness and professionalism in all interactions. -Actively contribute to a work environment that embraces diversity and uses diverse perspectives to enhance the attainment of organizational goals. Salary: -Range 36, full time salary starting at $2864 per month with periodic increments to $3,701 per month. Shift and Working Conditions: -Position's shift is 40 hours per week, Monday through Friday, typically 8:00 AM – 5:00 PM. This position will require individuals to work both indoors and outdoors in all weather conditions, and may require a willingness to adjust work schedule as needed. Position can be physically demanding and requires the ability to lift up to 60 pounds safely and the agility to bend/walk/stand for extended periods of time.
