Purchasing Assistant / Purchasing Coordinator: We are a growing National Account Lighting Distributor located in Vista, CA. Our goal is to provide the best customer service for our customers, and exceptional support for our own team. We are seeking a Purchasing Assistant / Purchasing Coordinator who will perform a variety of duties directly supporting the purchasing department while working in conjunction with operations, sales, and accounting. It will require excellent communication, critical management, and team building skills. Multi-tasking, managing, and prioritizing the work load in a highly organized and detail oriented manner will be essential. Responsibilities • Process purchasing transactions in accordance with company guidelines • Analyze and schedule PO dates with suppliers and internal Project Management team members to maximize efficiency • Execute order process from PO placement to follow up to timely delivery • Research PO discrepancies and execute changes as necessary • Work with Receiving Department on resolving all orders with shipping errors, incorrect materials, returns, and/or damaged material to determine the cause of the problem and take corrective and preventative action • Expedite open purchase orders and follow up with vendors for status and/or invoices • Communicate with AP department and suppliers to verify that the invoices are correct against PO and resolve/dispute any discrepancies • Maintain and update database with item revisions and pricing changes • Establish preferable terms with new vendors • Develop supplier relationships to support collaborative and partnering initiatives • Prepayment processing for certain vendors and custom projects Job Requirements: • Strong communication, interpersonal, and organizational skills are a must • Strong analytical and problem solving skills with high attention to detail and accuracy • Expert skills with MS Office (Outlook,Word, and Excel) products on Windows platform • Ability to work in a very fast paced, customer oriented environment • Enjoy working in a team environment to achieve company goals • Experience in Inventory/Supply Chain Management • Ability to multi-task and progress in a dynamic environment • Ability to coordinate and meet deadlines independently • Type 40+ words per minute • HS Diploma is required Education and Nice to have: • Associate Degree, Bachelor Degree related to business • 1-2 years work experience in purchasing or inventory management • Epicor -- Prophet 21 software experience is a huge plus • Electrical and or Lighting background is a plus • Experience generating informative reports from raw data upon request • Understanding of establishing relationships with vendors and suppliers
