SUMMARY The Development Assistant is a pivotal member of our team, supporting all development operations and providing administrative support for all fundraising and communications initiatives, including but not limited to appeals, events, grants, and donor stewardship. Additionally, this position maintains the donor database, manages preparations for events and meetings, and generates lists/reports for the team and the Board of Directors. The Development Assistant presents a positive image of MAB Community Services as a key internal and external contact. DUTIES AND RESPONSIBILITIES Database Management & Gift Processing Fully utilize relationship management software (Raiser’s Edge) to process all donations, enter and update donor information, and track and report on prospects, donors, donations, and fundraising activities.Produce lists/reports to evaluate fundraising progress, including donor reports and other queries.Process and coordinate mailings/correspondence, including generating accurate mailing lists.Monitor online giving vehicles (e.g., YourCause and various Donor Advised Funds)Work collaboratively with Finance Department to ensure reconciliation of accounts; reconcile daily/weekly regarding checks received and gifts processed online.Produce and send acknowledgement letters to donors.Special Events Support the Events Manager and all fundraising events, both before and during. Provide coverage and assistance to development staff as requested. Support, attend and participate in program and departmental events as needed.Oversee mailing lists, maintain donor and attendee records, manage registration at each event.Act as liaison to the Board of Directors. Prepare BOD meeting materials, meeting reports, correspondence, and attend meetings and take minutes when necessary.Office Management Maintain Advancement Office calendar, supplies, etc.Organize donor mailings/correspondence such as appeal mailings, acknowledgement letters, stewardship pieces, etc.Coordinate and participate in development team meetings and required trainings; compile weekly agenda items from team; produce reports on fundraising results to-date.Compile receipts and complete documentation to reconcile purchases made by development team.Executive Administrative Support This position is also responsible for projects assigned by and to support the Chief Advancement Officer, Chief Executive Officer, and other senior staff as applicable. QUALIFICATIONS - EDUCATION AND COMPETENCIES Completion of a High School required; additional academic preparation and related experience is desirable. Experience with management of database systems; knowledge of Raisers Edge, preferred.Demonstrated and proficient computer skills in a PC environment with the capability to master new software applications and technologies.Proficiency with MS Office, Outlook, Excel, Word, PowerPoint. Excellent written and verbal communication skills, including strong customer service skills.Enthusiastic, organized, detail oriented, and able to prioritize projects and meet deadlines.Comfortable interacting in a positive, professional manner with diverse team members at all levels of the organization including Senior Leadership, Board Members, staff, donors, volunteers, community organizations, and vendors; must be team oriented and collaborative.Work is generally performed in an office environment. Must be able to sit for extended periods of time, walk up and down stairs, and be able to lift 30 lbs.Must have a valid driver’s license and access to a reliable vehicle to carry out responsibilities.In accordance with MAB’s ADA policy, MAB will engage in an interactive dialogue with individuals to determine if the essential functions of the position may be fulfilled with or without a reasonable accommodation.
