Position Summary: The Bid Coordinator conducts, researches, and coordinates the response materials to submit bids and request for proposals. This position also provides general office support as first backup to the incoming phone calls and receptionist with a variety of clerical duties requiring general knowledge and application of various work methods and procedures. Essential Duties and Responsibilities include the following: · Researches job posting websites to identify potential jobs. · Responsible for receiving and preparing bid documents. · Sets up new jobs, and maintains all job information/status as needed. · Submits substitution request for equipment to architect as directed by Account Executive. · Provides any updates and bid information changes to Account Executive. · Administers bid packages, collects and verifies bids are complete per the project. · Updates and maintains accurate and complete bidder’s list. · Compiles and transmits quote to customers as directed by Account Executive. · Updates sales staff on status of current and upcoming bids. · Maintains bid history and researches bid questions as needed. · Prepares installation, operation and maintenance manuals, as needed. · Maintain office supply inventory as needed. · Reception includes first back-up answering calls, greeting visitors, signing for packages, etc., · Performs other duties as needed. A.) from two-year College or university; or one to two years related experience and/or training; or equivalent combination of education and experience. Current skills must include: excellent phone etiquette, excellent verbal communication skills, customer service driven, and ability to multi-task. Certificates and Licenses: None required. Computer Skills: Proficient at Microsoft Word, Excel, Outlook, Sharepoint, Teams and other Office Suite programs. Language Skills: Ability to read, analyze, and interpret technical procedures, or governmental regulations. Ability to write, business correspondence. Ability to effectively present information and respond to questions from groups of managers, clients, and customers. Math Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent. Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Physical Demands and Work Environment: The information described below represents the physical activities and surroundings one may encounter when performing the duties of this position. Physical Demands: While performing the duties of this job, the employee is regularly required to sit for long periods of time. The employee must constantly reach with hands and fingers. Extensive keyboard typing is required. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
