Reports To: Construction Manager Summary: The Maintenance Superintendent Assistant is responsible for supervision and monitoring of the property maintenance contracts of American Landscape and Maintenance, Inc. The Maintenance Superintendent Assistant will assist in supervising, training, and assists maintenance crews, manages various projects at a time, and deals directly with clients and property managers. Must have a good attention to detail and manage the quality control of the work the maintenance crews have completed. Will be responsible for creating and maintaining excellent client relationships through consistent communication and follow up regarding job quality, areas for improvement, and client requests. Oversee all operations related to the maintenance accounts assigned to them and work closely with the operations manager to create punch lists, proposals, order materials, overseeing site irrigation, and ensure appropriate scheduling of jobs. Will supervise crew members and Irrigation Technicians on all activities, including proper maintenance techniques and all safety procedures. Job Responsibilities: • Manage multiple projects effectively and efficiently • Understands contracts and the scope of work expected for each project • Manage sub-contractors • Order and manage materials and equipment • Meet face to face with clients at regular intervals; create needed proposals and reports; and attend housing committee and board meetings on a regular basis. • Make horticulturally correct recommendations to clients for improvements to their sites. • Direct foreman and crews in areas of work. · Manage foreman to ensure that all services are delivered according to contract specifications, on budget, according to schedule and with a high standard of quality · Ensure proper operation, scheduling and maintenance of all irrigation systems and controllers on landscape maintenance accounts. · Ensure appropriate storage, use, training, and documentation of all pesticide, herbicide, and fertilizers used by the company on a monthly basis. · Prepare cost reports, analyze budget variances, and recommend strategies to lower project costs; review labor quantities and phases to facilitate accurate project tracking. · Assist in the preparation of change orders with the Operations Manager. · Serve as the main point to the customer/property manager for all field related issues. · Direct irrigation technicians in the quarterly inspections of each site, effectively communicate irrigation issues and suggest solutions and improvements to clients as often as necessary. · Role model behaviors on ethics and integrity. • Monitor project activities to ensure that instructions are followed, deadlines are met, and schedules are maintained. • Execute operating procedures and work standards that will ensure adequate performance and personnel safety. • Ensure foreman and laborers adhere to all safety protocols and provide training to employees and crews who demonstrate deficiencies. • Handle any workplace injuries and incidents following proper HR and safety protocols. • Inspect completed work to ensure conformance to specifications, standards, and contract requirements. • Train and coach laborers regarding maintenance techniques and the proper use of equipment. • Complete paperwork in a timely manner. • Participate in job completion walks. Qualifications: • Minimum 3 years of prior experience • Knowledge of hardscape, excavating, grading and drainage. • Knowledge of horticulture, common plant material, irrigation, and irrigation controllers. • Ability to effectively communicate relevant information and respond to questions, both verbal and written in a timely manner. • Knowledge of pesticide use and safety. • Knowledge of and desire to community safety expectations to employees. • Propose and sell property enhancements • Math skills particularly as they relate to proper fertilization and area calculations. • Ability to organize, multi-task, plan and set priorities with minimal supervision. • Ability to work independently and in team settings. • Ability to exercise good judgment with a strong attention to detail • Clean driving record. • Excellent Verbal Communication skills, with the ability to communicate in a professional and cordial manner with clients and coworkers. • Computer literate with capability in email and Microsoft Office • Bilingual in Spanish a MUST Physical Demands: • Stand and walk for extended periods of time. • Ability to frequently move supplies of up to 25 pounds and occasionally lift weight consisting of 75 pounds. Work Environment: • Exposed to moving mechanical parts when on jobsites. • Interaction with staff and customers. • Regularly performing outside duties.
