Job Summary: The Admission Database Coordinator is responsible for all aspects of admission data management and works collaboratively to create a warm and welcoming admission office to ensure that the application process is a positive experience for students and their families. This position is an academic year only position which means it gets the summers off. Specific Responsibilities: Manages online applications through our admission collection database, and oversees applicant data including tagging, processing materials and sending receipt of notification to applicants. Works with the Admission team on reenrollment by processing contracts and corresponding with families. Creates current grade level composites to aide in the decision making for Admission Decision Teams. Sends out various admission surveys throughout the year, including Open House, Admission Season Overview, First Year and Withdrawal surveys. Also compiles data from survey responses. Process withdrawal information and follow up. Creates a warm and welcoming environment by serving as the first point of contact within the Admission Office and works to ensure that the application process is a positive experience for students and their families by doing the following: Fields inquiry calls and manages the admission office email account. Assists with the support of student visit days and other admission events. Supports admission decision team meetings by recording admission decisions, takes notes, provides data and ensuring any needed follow up occurs. Assists with creating admission decision packets for admitted students. Creates permanent student files once new applicants are admitted. Compiles, maintains, and collates admission statistics and data. Maintain all records, files and databases pertaining to inquiries, applications, offers of admission, waiting pools, enrollment of new students, committee reports, yield and other statistics as directed. Updates, maintains and cleans database as necessary. Assists with preparation and compilation of data for snapshots, spreadsheets and presentations to provide insight on admission trends. Is familiar with and complies with all policies and regulations as put forth in the school’s documents. Since safety and security are everyone’s responsibility, takes all necessary and reasonable precautions to protect students, faculty, staff, equipment, materials and facilities. Performs other duties as assigned Qualifications Required Education & Experience: High School Diploma or GED required Minimum of 2 years’ experience in office administration required Knowledge of Microsoft excel and google drive/sheets/docs is required Required Knowledge, Skills & Abilities: Excellent organizational skills Excellent verbal and written communication skills Strong analytical skills Strong attention to detail Demonstrated ability to coordinate and prioritize multiple tasks, and to manage details and deadlines Demonstrated ability to maintain pleasant and effective relationships with colleagues and constituents, and to work independently and as a team member Ability to work and communicate well with students and their parents Ability to maintain confidential information Commitment to diversity, equity, and inclusivity Flexibility, maturity and a sense of humor Proficient at working in a Microsoft Windows environment using Office, including Outlook; proficient at working with database systems for record keeping, including insert, import, query, data standards, and reporting; ability to confidently learn new technologies Experience with school-focused technology is a plus Ability to talk on the phone Ability to sit and keyboard up to 8 hours per day If this sounds like you please visit us at to apply.
