Caritas Communities, Inc. is a non-profit organization founded in 1985 to develop and manage affordable housing for low-income, working men and women. The Assistant Property Manager is in intricate part of the success of the organization. Responsibilities: ●Assists the Property Manager (PM) with the daily operation and management of a portion of the Caritas portfolio, including but not limited to; the safety, appearance, code and licensing compliance, inspection coordinator, unit-turnover, rentals, contractor coordination, rental administration, rent collection, site manager staffing and oversight. ●Weekly building walkthroughs and meetings with staff both at the properties and in the office as directed by the PM ●Travel amongst the portfolio, office, trainings, vendors and stores ●Respond and be present during an active emergency to assist with evacuation and relocation coordination if necessary (after hours and weekends if applicable) ●Assist and conduct interviews on occasion as well as coordinate move ins and move outs ●Clean room after tenant vacates. Complete an inventory and inspection report for the unit and report any missing or damaged property to the property manager. ●Move new residents into the property, review lease, house rules and sign lease. ●Working with the PM assists with rental collections, evictions, and repayment plans with residents ●Appear in Court for eviction and tenant related cases as needed ●Assists with budget preparation, oversight and variance reporting, monthly management, maintain expenses within parameters of said budget ●Processing and approval of portfolio payables ●Create and distribute notices to tenants regarding Caritas related vendor, inspections and business issues ●Address tenant complaints, questions and concerns. ●Order and maintain supply of janitorial, maintenance and office supplies. ●Track Yardi work orders and review the tenant ledgers. ●Develop and maintain professionalism with tenant/site manager relationships. ●Arrange access and meet with vendors. ●Clean common areas as needed and perform maintenance. ●Understand emergency procedures, their implementation and the various building systems that contribute to the operation of the property - heating, electrical, plumbing, fire alarm, elevator, etc. ●Licenses - ensure that the property is in compliance with all license codes and building regulations. ●Maintain and safeguard the key system ●Submit timely and accurate incident reports. ●Conduct a daily walk through of the property ●As a representative of Caritas Communities promote our mission with the neighbors, community leaders and local authorities as the need arises. ●Cooperate with the Sr. Facilities Manager’s instructions for all maintenance, vendor and/or inventory related matters. Additional Position Responsibilities: Additional responsibilities will be assigned based on business needs. Qualifications: •Valid driver’s license and reliable transportation •Ability to multitask and manage numerous projects at a time •Ability to work independently and possess a profession demeanor at all times Physical Requirements: •Must be able to walk to buildings and inspect the interior and exterior of the properties (including but not limited to basements and roofs when applicable) •Bending, stretching, climbing and descending stairs and or/ladders to reach confined areas •Lifting of equipment that may approach 50lbs Other Duties: Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
