Description
The Facilities Manager is responsible for managing facility maintenance and upkeep at four Prospect Hill sites (15 Webster Avenue, 17 Franklin Street, and 366 Somerville Avenue in Somerville and 50-54 Essex Street, Cambridge) as well as an auxiliary gym location (579 Boston Avenue in Medford). This is a full-time position with typical work hours from 7:30am to 4:00pm and overnight on-call duty and the ability to work during nonstandard hours when the need arises. The Facilities Manager supervises campus custodians and manages numerous vendor relationships. Essential Functions: * Ensure the full upkeep and high-functionality of five facilities sites * Complete and/or contract preventive maintenance and repairs for all facilities and equipment * Manage and supervise the daily work and payroll approval of campus custodians * Manage project plans for summer facility renewal and repair projects * Ensure all required permits are maintained and in place for each facility * Coordinate and oversee snow removal and landscaping at each campus * Coordinate and oversee the cleanliness of all facilities through contracts with janitorial vendors * Coordinate and oversee the security of all facilities through contracts with alarm vendors * Coordinate and oversee the HVAC systems in all facilities through contracts with heating, ventilation, and electrical vendors * Remotely monitor building systems using web-based tools * Coordinate and oversee all furniture delivery and installation * Oversee implementation of asbestos abatement plans, lead abatement plans, and water regulation compliance * Oversee implementation of fire safety plans, including contracts for the monitoring and maintenance of fire alarm and fire suppression systems; liaise with local police and fire departments as needed * Order all necessary departmental supplies following school protocol including: obtaining Purchase Orders, maintaining purchase log, and saving receipts * Occasionally transport materials and supplies between facilities * Collaborate with purchasing department to obtain multiple quotes for significant purchases * Review vendor invoices for payment approval * Meet periodically, and at least quarterly, with building principals to review campus facilities topics * Collaborate with Information Technology department on jointly-managed systems (security, surveillance, access control) * Manage electronic facilities/help request system and ensure prompt replies to facilities requests * Maintain inventory of keys * Partner with CFO to create and monitor facilities budgeting NOTE: This list of essential and additional functions is not intended to be all-inclusive and may be supplemented at the request of one’s supervisor and/or senior management. Additional Functions: * Additional responsibilities and tasks requested or assigned by manager * Knowledge, Skills and Experience Required: * BS or Associate Degree with technical training * Minimum of three to five years of progressive experience and responsibility in a facilities maintenance field * Working knowledge of construction, electrical, HVAC, and plumbing systems * Minimum completion of 10 Hour OSHA Course * Driver's license required; ownership of vehicle to transport materials and supplies preferred but not required * Experience as a supervisor for custodial and/or maintenance staff is preferred * Conversational Spanish language ability is helpful and preferred but not required * K-12 school experience is preferred * Ability to provide timely customer service to campus and administrative leaders * Ability to problem solve challenging situations * Ability to manage complex projects and multiple deadlines * Ability to communicate effectively and respectfully * Commitment to Prospect Hill Academy's educational mission, vision, and values * Commitment to working with students and families from diverse backgrounds with diverse profiles * Well-developed and demonstrated cultural proficiency * Strong organizational and communication skills, both written and oral * Passionate about collaboration with colleagues and supervisor * Basic comfort in technology tools, including Google suite of applications Physical Requirements: * Frequent sitting, standing, walking, reaching with hands and arms to stoop, kneel, or crouch * Regularly required to operate a computer and other office equipment with hands and arms, and must occasionally lift and/or move up to 10 pounds. * Frequent lifting and/or moving up to 10 pounds and occasionally lifting and/or moving up to 25 pounds. * Occasional use of hands to handle or feel * Occasional climbing or balancing * Regular speaking and hearing; specific vision abilities include close vision, distance vision, color vision, peripheral vision, and depth perception The above information outlines the general nature and level of work performed by employees within this position.
