Administrative Assistant Reports to and is supervised by the Senior Pastor Schedule: Part time Hours: 20 hours per week Compensation: $15.00 per hour This is not a benefitted position Summary of Responsibilities: The Administrative Assistant provides support to the Pastor and Vestry by organizing information relating to member services in electronic, written, verbal and in-person formats as well as providing administration for Nativity Church. This includes constant and effective management of the use and maintenance of the church building and the resources therein. Example of duties and responsibilities: Answers telephones, takes and delivers messages, greets and meets visitorsPrepares for meetings by compiling agendas and other materials, staging space, and assisting with ancillary accommodationsManages information such as databases, spreadsheets, files, and calendars using manual and Microsoft office productsAssures ample office supplies are availableAssists with office projects, programs and events at the direction of the Pastor and Senior WardenIs a member of the Nativity Staff and bound by confidentiality Required qualifications: Must be able to work in a team environment· Evidence of successful office administration and demonstrated expertise and success in filing, and general office skills. The ability to organize, systemize, maintain, and oversee accurate records.Must have knowledge of Microsoft Office applications: Word, Excel, Power Point and Outlook· Experience in technical applications with the ability to troubleshoot minor software and hardware problems. · The ability to secure, use, and interpret statistical data from various federal, state, and local government bodies, as well as those within The Episcopal Church. · Demonstrate articulate written, oral, and presentation skills · Demonstrate follow-through and attention to detail · Demonstrate a verifiable pleasant demeanor and presentation · Experience in communicating with the public in business and social networking situations Church of the Nativity Administrative Assistant Detailed Duties Finances · Oversee count collections, recording, and depositing. · Order pledge envelopes and prepare for distribution · Review and maintain a list from Stewardship. · Meet financial requirements by submitting information for budgets; monitoring expenses. Building Management · Respond to building management/maintenance requests. · Secure maintenance quotes as requested by the Vestry. · Facilitate requests for building use and supervise work with clients regarding bookings, setups, fee collections, etc. · Oversee practical usage of the church building. Network Administration Oversight · Supervise, monitor, and maintain network performance as necessary by overseeing network upgrades with vendors (hardware and software). · Responsible for maintaining all domain registrations and “cloud” subscriptions. · Facilitate security protocols to ensure the protection and security of the church database and personal files on church computers. · Provide references and support to users new to the system. · Coordinate with vendors for internet and telephone operations. · Maintain logs of all computer information in a working network document. Personnel · Supervise Grounds Team. · Responsible for office management · Attend weekly staff meetings. · Provide supervision/training for volunteers. · Serve as staff liaison to church committees and groups as requested by the Pastor. · Provide primary contact for benefits/insurance programs for staff. · Handle CORI checks and any government requests for information. · Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks. · Achieve organization goals by accepting ownership for new and different requests; exploring opportunities to add value to job accomplishments · Other duties assigned by the Rector
