Recon360 provides in-house design with reconstruction, roofing, painting and maintenance divisions dedicated exclusively for homeowner association communities. The Construction Project Coordinator/Engineer will assist our close-knit project team with clerical, administrative and project management support to ensure projects are executed efficiently and accurately. As we are an agile and growing team, we would like you to grow with us and may expand your job duties over time. ESSENTIAL DUTIES + RESPONSIBILITIES • Go-to person for all intake documents: log & file • Gather all required information for: Client, Community + Scope • Organize & assemble files • Submit completed proposals DOCUMENTING JOBS: • Assign Job #s • Assemble Job file for field • Setup & Organize Job binders/file folders, including starting Invoice Logs, Change Order Logs, forms & templates • Prepare for Production Meetings, including transmission & updating of Jobs Log and pertinent dates on company calendar • Organize and track important project documents INVOICING: • Prepare Invoices manually with Excel in the interim and prepare transition to invoicing in QuickBooks by early-Summer 2017 • Submit Invoices to Client and Construction Managers PROJECT RECORDS: • Maintain & update city permit application files, forms & standard company supporting documentation • Maintain ownership of project records, files and documents GENERAL + OFFICE OPERATIONS: • Coordinate project management activities, resources and information • Clerical tasks as needed (copying, scanning, filling, etc.) • Break projects into doable actions and set timeframes. • Liaise with clients to identify and define requirements, scope and objectives. • Assign tasks to internal teams and assist with schedule management. • Make sure that clients’ needs are met as projects evolve. • Act as the point of contact and communicate project status to all participants. • Work with the Project Manager to eliminate blockers • Create and maintain comprehensive project documentation, plans and reports.
