St. James Episcopal Church in St. James, NY seeks a part-time parish administrator. Our ideal candidate is organized, proficient with technology, and strong in communication. This position reports to the rector. Responsibilities: Church Communications Prepare all paperwork related to worship services: bulletins, readings, and announcements Manage the compilation and distribution of the This Week at St. James weekly parish newsletter and monthly Open Doors newsletterMaintain the online church directory, updating as neededMaintain the church website and social media presenceMaintain church prayer list and track parishioner milestones (birthdays, anniversaries, etc.)Support technology needs related to streaming worship services Answer office phones and emailsMaintain the Master Calendar for all church activities Bookkeeping Prepare invoices for payment including the use of QuickBooks accounting software to code expenses, printing checks, obtaining appropriate signatures, and maintaining filesEnsure a smooth and accurate accounting of receipts through completion of bank deposits and supporting documentationCompile and maintain confidential, accurate, and complete records of pledges and receipts Cooperate with the appointed parties to support the yearly audit of financial records Cemetery Administration (Under the guidance of the Cemetery Committee) Communicate professionally and promptly with funeral directors and families, both over the phone and in-person, regarding grave purchases and burial arrangementsMaintain all cemetery documentation (interment cards, deed holder files, etc.) and upkeep the cemetery office databaseFacilitate all paperwork for new deed holdersSubmit work orders to the grounds crew as needed General Administrative Support to the Rector Assist in the completion of the annual Parochial ReportSupport in the preparation for parish events or fundraisersOther projects as assigned by the rector Qualifications: Proficiency with the Microsoft Office Suite, particularly Word and ExcelProficiency with Quickbooks Strong proficiency with technology, including a willingness and ability to learn online communications platforms such as MailChimp, Gmail, Instant Church Directory, Zoom, Weebly, Facebook, etc.Prior professional administrative experience preferredStrong written and verbal communication skillsExcellence in customer service and commitment to joyfully serving othersExceptional organizational skills, including effective time management and prioritization of competing demands and multiple deadlinesStrong attention to detailDiscretion and ability to maintain confidentiality throughout interactions with parishioners, the rector and othersUnderstanding of, or willingness to learn, basics of liturgical worship Additional Details Hours: 20 hours per week, ideally Monday-Friday 9:00AM-1:00PM, but specific schedule is negotiable Compensation: Based upon skill and experience level. Hire pending the completion of a background check. The selected candidate must complete and present certificates for Safe Church and Anti-Racism training upon the next diocesan presentation of those programs (at no cost to the employee).Paid time off: Holidays (those that fall on scheduled work days) and two weeks paid vacation How to Apply Interested applicants should submit a cover letter, resume, and references to the rector, the Rev.
