Location: Santa Barbara (OPEN TO RELOCATION FROM ANYWHERE) Schedule: Monday through Friday 8am- 6pm on premises with 24/7 avail for text/calls. Compensation: Salary between 90K – 130K DOE plus benefits (and potential relocation package) The Executive Assistant/Personal Assistant (EA/PA) reports directly to the Principle (Employer) and is the Principle’s main representative both internally and externally for personal and professional matters. The EA/PA is responsible for effective and efficient communication on behalf of the Principle and amongst team members and will ensure daily personal team operations and projects are executed in an organized manner. A successful EA/PA will be highly organized and forward-thinking, service-oriented, a natural caretaker and personally motivated by working hard and often long hours in a highly dynamic and fast-paced environment. The EA/PA must have excellent leadership and problem-solving skills and should be well-versed at finessing and de-escalating intense and stressful situations. The EA/PA should also be a thoughtful, organized and thorough communicator who follows through on all tasks, big and small. If the responsibilities of this position were to be summarized in one phrase it would be “whatever it takes and is needed to make the Principle’s life easier.” This is the sole goal and responsibility of the EA/PA, and the ideal candidate will have an innate desire to achieve and exceed expectations. The Executive Assistant/Personal Assistant’s responsibilities include, but are not limited to the tasks outlined below: Personal Team Manager – Direct manager of all members of the Personal Team. – Assign tasks, set goals and ensure projects and responsibilities are executed and completed by team members including Nannies, Estate Manager, Ranch Manager and other employees on behalf of the principle. Administrative and Office Management – Coordinate all aspects and elements of the Principle’s day-to-day schedule both professionally and personally. – Integrate and coordinate the Principle’s schedule with schedules of the immediate family members (husband and children.) – Liaise with Personal Manager and Business Manager and their staff, schedule business and personal appointments, prepare memos/letters/reports/paperwork, manage orderly and timely records. – Maintain up-to-date personal files on behalf of the Principle and family including doctor records, contact information, school paperwork, extracurricular activity paperwork, schedules and itineraries, purchase orders and receipts, etc. – Manage the Principle’s personal devices including phones, tablets and laptops, in partnership with the technology/security contractor to maintain peak performance and up-to-date software. Travel Coordination – Oversee, arrange and advance all aspects of professional and personal travel plans for the Principle, the family, and the personal team. – Act as the lead point of contact and coordinator for the Principle for all travel. – Travel with Principle as requested for all business-related and personal travel. Personal Errands – Responsible for day-to-day errands such as grocery shopping, pharmacy pick-ups, gift buying, food pick-up, dry cleaning, and other personal requests. Event Planning – Manage all aspects of Principle-hosted events including gatherings with friends, dinner parties, birthday parties, holiday entertaining, special occasions, etc. Social Activities Coordinator – Special attention to finding the best leisure activities for the entire family, both at home and during travel. – Research and be “in the know” of new restaurants, kids parks, popular shows, great museum exhibits, seasonal attractions, and other unique and fun activities.
