The Palm Court Office Assistant is a full-time paid employee and a representative of the Board of Directors for the Association of Apartment Owners (AOAO). The Office Assistant will take instruction, direction and supervision from the Site Manager and/or through our Managing Agent, in the performance of their duties. The Office Assistant must have a positive attitude with a professional appearance while interacting with Palm Court Residents, vendors and staff, conducting daily Association Business. SUMMARY OF OFFICE OPERATIONS: • Responding to all concerns, including residents and vendors. • Establish and maintain Palm Court owner database files to include; residents, tenants, clients, vendors and employee staff. • Assist Site Manager with overseeing the daily operations of the community. DUTIES AND RESPONSIBILITIES • Answer calls, schedule appts, order supplies & reply to emails from owners, residents, & vendors. • Maintain personnel files for the Association • Maintain accurate daily logs of activities, events, incidents and violations. • Ensure all Resident Registration Information is maintained and updated. • Update reports / rosters for Owners and Tenants Occupancy status. • Ensure all incident reports are filed with the results of the corrected incident. • Ensure all Palm Court AOAO files are current and accessible for review, when necessary. • Keep the Site Manager informed of all and any issues. • Assist with posting notices as required around the property & announcements via TownSq, keeping all residents informed of activities, events and emergencies affecting our community. • Assist with establishing and maintaining an Inventory Control Program. • Prepare and submit the Staff Payroll Time Cards. • Assist with the preparation and maintaining the Palm Court Newsletter. • Establish & maintain a hardcopy binder of the Board of Director’s scheduled meetings & minutes. Required Skills: Computer knowledge; use of MS Office, Excel, Access Data Base, Power Point and Publisher program applications to perform his/her duties. Duty Hours: a total of 40 hours per week as follows: Office Hours will be from 8:00 am to 5:00 pm, Tuesday through Saturday. PAY RATE & QUALIFICATIONS: Starting pay is $13.50 / hour with an increase upon completion of satisfactory probation period. A high school diploma is preferred. Good communication skills and the ability to work with people is essential. Be able to work as a team or independently without supervision.
